We are seeking a professional, compassionate, and service-oriented Intake Coordinator to support our Texas practice. While this position serves our remote Texas operations, the role will be based in-office at our Blue Ash, OH location.
The ideal candidate will bring experience in mental health or behavioral health settings and will be comfortable engaging patients in sensitive conversations, matching them with appropriate providers, and guiding them through the intake process. Candidates may hold an LSW or LPC license, though this is not required.
Because our Texas practice operates on a cash-pay model, this individual must also demonstrate strong professionalism, communication, and the ability to clearly convey the value of services to prospective patients.
Schedule & Location
- Full-time, Monday–Friday, 8:00am to 5:00pm
- On-site at 10290 Alliance Road, Cincinnati, OH 45242
- Supports Texas-based practice remotely
Responsibilities
- Serve as the first point of contact for prospective Texas patients, providing a professional, empathetic, and informative experience.
- Conduct patient screenings to assess needs and recommend appropriate provider matches (more hands-on/manual matching than standard Mindfully Ohio process).
- Accurately collect and document patient information, including personal details, service needs, and payment arrangements.
- Clearly explain the cash-pay model, setting expectations around payment, policies, and scheduling.
- Confidently communicate the value of services to patients and ensure they are prepared for their first appointment.
- Navigate multiple systems for scheduling, documentation, and communication.
- Maintain compliance with HIPAA and organizational policies.
- Collaborate with administrative and clinical teams to ensure a seamless patient intake experience.
- Contribute to a positive, professional, and team-oriented culture.
- Perform other duties and special projects as assigned.
Qualifications
- Experience in a mental health or behavioral health setting required (clinical, administrative, or support).
- LSW or LPC preferred, but not required.
- Proven ability to handle sensitive patient interactions with professionalism and empathy.
- Strong communication skills with the ability to “sell” services in a supportive and ethical way.
- Experience with insurance, billing, or cash-pay practices is a plus.
- Comfort with navigating multiple systems simultaneously; EMR/CRM experience preferred.
- Self-starter, problem solver, and team player with a positive attitude.
- Ability to work in-office (Blue Ash, OH).
