Position Summary: 

Working with Oregon Food Bank’s volunteer community, the Volunteer Coordinator coordinates in-person activities during repack shifts.  The Volunteer Coordinator adds to the success of the organization by moving food safely and efficiently through repack spaces to meet operational needs while implementing engagement opportunities that connect the volunteer community to Oregon Food Banks root cause work. The Volunteer Coordinator independently implements  strategies to move volunteers up a ladder of leadership development and civic engagement activities linked to our vision primarily in the context of large scale volunteer food repack.  The Volunteer Coordinator is flexible and adaptable to a fluid and dynamic work environment.  They  prioritize safety, engagement, productivity and collaboration, and can balance competing work demands with composure and accountability to achieve desired results. The person in this position works Monday through Friday or Tuesday through Saturday although your daily schedule may vary depending on food movement needs, volunteer availability and time of year.

 

Primary Responsibilities (Essential Functions): 

  • Coordinate 6 volunteer shifts per week. 

  • Supervise groups of up to 100 volunteers of varying ages in a fast paced,  safe and fun environment. 

  • Ensure the volunteer shifts are accessible and welcoming to all community volunteer leaders, including language accessibility.  

  • Assess, train and direct groups of volunteers for large scale food repack production which requires public speaking in both small and large group settings. 

  • Organize volunteers to engage more deeply in our mission as advocates and community leaders.

  • Receive food and fund donations made during volunteer shifts. 

  • Adjust food production for planned and unplanned volunteer absences, varying food levels 

  • Maintain volunteer work areas and equipment to the highest standard for food  safety/ volunteer safety/comfort and public health. 

  • Operate warehouse equipment; maintain equipment safety. 

  • Learn and use Mobilize and EveryAction to document volunteer engagement and develop strategies to move the Oregon Food Bank Base to advance systems and policy change.  

  • Learn and use our inventory management system (Primarius) proficiently,  to support transformation and distribution of food to the community.

  • Plan and execute volunteer recognition events implementing organizing strategies  to move volunteers up a ladder of engagement in the context of service to systems  change.  

  • Work closely with Volunteer Scheduling and Outreach Coordinators regarding  individual volunteer needs and scheduling 

  • Organize logistics of special volunteer projects in conjunction with OFB departments 

  • Develop and conduct ongoing training program for volunteers and volunteer team leaders

  • Organizational level responsibilities of employees include:

    • To be an ambassador and a leader for OFB’s vision and mission, a cross-departmental collaborator, and an active contributor to building a movement to end hunger for good by addressing the root causes of hunger: systemic oppressions such as racism, xenophobia, sexism, and cisexism. 

    • In consultation and coordination with the supervisor, actively contribute to:

      • cross-departmental efforts

      • work culture activities and programming

      • advisory and consultative groups such as the compensation committee, affinity groups, Equity Ambassadors, Equity Think Tank meetings, among others

      • plan and engage in professional development activities that strengthen your capacity for your specific role as well as your capacity to contribute and advance organizational goals, OFB’s vision and mission.  

      • Identify, share, engage in, and collaboratively adjust and make necessary changes to this description of duties according to the inevitable evolution of the role over time.

Skills and Experience: 

  • Deep passion for eliminating hunger and its root causes.

  • Experience in community engagement and organizing in cross cultural spaces. Proven  ability to train and manage volunteer individuals/groups(100+) 

  • Ability to receive and comprehend Oregon Food Bank’s systems change work and to connect volunteers to that work in repack spaces.  

  • Ability to communicate effectively verbally and in writing with a range of audiences.  

  • Outstanding relationship building skills. Ability to develop and maintain relationships in the  context of building relationships for the organization and its mission. 

  • Demonstrated ability to navigate conflict through effective leadership and problem-solving. 

  • Demonstrated ability to handle sensitive information effectively and confidentially. 

  • Ability to drive/valid driver’s license.  

  • Demonstrated ability to speak in front of and provide trainings to large groups with  diverse lived experiences.  

  • Ability to thrive in a fast-paced environment and able to troubleshoot quickly 

  • Ability to maintain focus on tasks and produce accurate work in chaotic, stressful  environment 

  • Attention to detail, very organized and proficient with creating basic spreadsheets

  • Aptitude with Microsoft Office suite and standard office equipment 

  • Proficiency with databases, in particular volunteer management and inventory  management systems 

  • Ability to thrive in a creative, responsive, and fast-paced culture. 

  • Organizational level skills and experience required for exempt employees include:

  • Disposition and willingness to maximize multiple perspectives to innovate, problem solve and seek creative solutions.

  • Experience in modeling intercultural competence and demonstrated commitment to equity and social justice.

  • Demonstrated ability to think strategically, collaborate, take initiative, and to maintain confidentiality.

  • Project coordination and organization skills; ability to manage multiple projects with attention to detail; ability to handle interruptions, and produce timely, accurate work.

  • Ability to both work independently and as part of a team; comfortable working in an office environment and offsite.

  • Ability to thrive in a diverse, creative, responsive, mission-driven, and fast-paced work culture. 

  • Experience of successful multicultural immersion working and/or living within OFB's Equity Constituencies: BIPoC, Immigrants & Refugees, Single Mothers, Trans and Gender-Non-Conforming folx.  

    • Multicultural Immersion defined as: Actively integrated in one or more communities, interacting with individuals and groups, and seeking to understand the diversities within and between communities by being there and engaging in daily life activities.

Preferred Qualifications: 

  • Organizational level preferred qualifications of non-exempt employees include: 

    • Multilingual skills at a minimum professional level of proficiency or greater in  English and any additional language/s, defined as being able to speak the  languages with sufficient structural accuracy and vocabulary to participate  effectively in most formal and informal conversations on practical and  professional topics.
