Job Title: Operations Assistant
Location: Manhattan Office
Employment Type: Full-Time Reports To: Operations / Executive Team
Pay: $20/hr
Position Summary: We are seeking a highly organized and adaptable Operations Assistant to support our dynamic amenities management team. This hybrid role combines administrative office responsibilities, executive assistance, front desk reception duties, and occasional on-site staffing support at client locations (e.g., as a receptionist). The ideal candidate is proactive, personable, and thrives in a fast-paced environment with a wide range of responsibilities.
Key Responsibilities: Office & Administrative Support
• Provide daily administrative support to the operations team and corporate leadership on various tasks and projects.
• Manage scheduling and correspondence for the CEO.
• Maintain digital and physical filing systems and assist in document/site materials preparation.
• Order and organize office supplies and inventory.
• Prepare reports, meeting agendas, and take meeting minutes as needed.
• Run errands periodically (such as to the bank, post office, client sites, Brooklyn office).
Receptionist & Front Desk Duties
• Serve as the first point of contact for clients, vendors, and visitors (in-office or via phone/email).
• Greet guests professionally and ensure a positive front-of-house experience.
• Manage incoming calls, messages, and general inquiries.
• Distribute mail and coordinate deliveries (including incoming uniform shipments).
• Perform light cleaning and office organizing.
Client Site Support
• Provide support or coverage at client locations as needed (in the case of staff shortages, special events, or high-traffic periods) serving as:
o Front Desk Attendant/Receptionist: Greeting residents/visitors, checking in guests, responding to community inquiries.
o Operations Assistant to Iowa operations team (Operations Coordinator, VP of Operations), Club Managers, District Managers, and/or CEO
• Maintain professionalism and excellent customer service while working at any site.
Qualifications:
• 1–3 years of experience in an administrative, receptionist, or operations role.
• High school diploma or equivalent required; associate or bachelor’s degree preferred.
• Lifeguard/CPR certification (preferred).
• Strong communication and interpersonal skills.
• Excellent organizational skills and attention to detail.
• Proficient with Microsoft Office Suite, Google Workspace, and general office technology.
• Ability to regularly work in the office, travel to various client sites as needed.
• Flexibility to work occasional evenings/weekends depending on needs.
Work Environment & Physical Requirements:
• Office-based with occasional travel to Brooklyn office, client properties, other misc locations.
• May involve prolonged standing or sitting. Occasional lifting of heavy items.
• May require lifeguard duties in outdoor or pool environments (seasonal/weather dependent).
