The Receptionist aka Office Coordinator is vital in this mission, as they are the first face that our families see as they walk into the clinic, and the person families trust to help them with scheduling needs each week.
The Office Coordinator position is a considered part of the Talking Tadpoles administrative team and is the first point of contact for families who partner with TT. This position delivers excellent customer service to patients, their families, referring physicians, and therapists.
The ideal Office Coordinator candidate is highly organized, customer/client-focused, self-motivated, reliable and has a keen attention to detail, excellent time management skills, exceptional interpersonal skills, and is able to adapt to new processes quickly. This role requires, daily, a mix of high-quality personal engagement with families and other team members on the phone, in person, and through email.
The Office Coordinator serves as primary point of contact for patients and families for the practice and reports to the Office Coordinator Lead, unless otherwise directed.
Requirements:
- Bilingual in Spanish preferred
- Operate standard office equipment, such as computer, copier, phone and virtual fax
- Establish and maintain patient records in hard-copy and electronic formats
- Keep information confidential in accordance with HIPAA
- Use exceptional written and verbal communication with families and clients of Talking Tadpoles via phone, text, email or in person
- Support therapists in maximizing their schedules and accommodating families' changing needs and availability through reschedules.
- Collect payment at time of service
- Serve as liaison for parent/caregiver(s) between all departments (clinical, administrative, billing, etc.) at Talking Tadpoles.
- Maintains attendance policy with families by discussing attendance requirements and following up to offer reschedules.
- Represent the clinic in the community in a professional manner
- Other duties as assigned
