Role Description:
The most important thing is to make sure that your office runs smoothly and your team is taken care of. As the office manager you will be the go to person for daily activities and anything dealing with your office. You will be the liaison between the support team and your office.
Work with your doctor to ensure the morale is up, culture is SRD and everyone is working as a team.
Responsible for all tasks and responsibilities listed below in the document- This does not mean the office manager has to complete all of them but just that they are completed.
Primary Job responsibilities:
Team Leadership
- Oversee daily operations of the office by leading team members and managing processes
- Start Huddle, Give announcements and numbers to start our day in a positive way!
- Daily Deposits/End of day numbers for office
- Make sure all Lab invoices/Supply invoices are scanned
- File all claims and make sure all claims are batched with correct TX/provider(s)
- Read insurance reports/update patients info if needed (Dentalxchange)
- Be proactive and prevent any issues that might make our day more difficult
- Grow the team daily by listening to their conversations with patients and give them positive feedback and constructive criticism when needed.
- Delegate different office duties to team (Insurance management, Lab cases, past balances, general patient, housekeeping items)
- Keep in touch with hygienist and dental assistants with any feedback from Leadership team, patients, doctors and other teammates
- Communicate with doctors to make sure their schedules are productive and manageable for them individually
Operational Excellence
- Help with dental supply/office supply ordering as needed
- Deal with our difficult patients when needed
- Deal with building/technical/operation issues as needed
- Letting my team know I am there for them and I have their back!
- Keep up with Time OFF (Vacation & Personal) send to correct coordinator & update calendar
- Approve Time Cards (verify time and location is correct)
- Check Simplifeye (appointment request via internet)
- Keep up will ALL office papers on equipment/x-ray (ex: HS: FDA forms,new equipment)
- Add receipts to Divvy for credit card receipts/records
- Communicate with Kelsey on working days for Doctors, communicate any off days with her
Continuous Improvement
- Participating in projects and initiatives that help with improving processes and operations
Team Support:
- Checking in/out patients
- Entering new patient information or current patient updates
- Answering the phone
- Treatment plans
- Check Insurance (daily/weekly/monthly)
- Send referrals/x-rays
- Call lab for pick up
