JOB SUMMARY: Under the direction of the Medical Director, responsible for oversight of Redwood Coast PACE Clinic operations, including direct supervision of the Medical Assistants and Phlebotomist. Responsible for oversite of clinic operations and clinic compliance.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
- Oversees documentation of the Medical Assistants.
- Provides oversight and process improvement to the processes performed by Medical Assistants and Phlebotomists.
- Coordinates required Vaccines and TB screening and documentation of records for participants.
- Acts as administrator to the clinic health record system, including leading any transitions, providing staff training, etc.
- Completes Incident Reports, as appropriate.
- Collaborates with the Medical Director (MD) and Director of Human Resources on the employee recruitment and disciplinary processes.
- Completes Interdisciplinary Team discipline-specific competencies for direct reports.
- Completes employee performance evaluations of program employees, students, and volunteers.
- Ensures and maintains adequate daily staffing.
- Ensures ongoing and program-compliant in-service training and documentation for employees, contractors, and volunteers.
- Reports to the Medical Director concerning personnel matters of Medical Assistants, including situations or occurrences that impact employee relations and morale.
- Oversees timesheets completion and requests for leave of program employees. Works with Human Resources to ensure timesheets are prepared accurately and in a timely manner.
- Enforces written agency and program policies.
- Participates in program and department policy and procedure development.
- Monitors the safety of the Clinic work environment and enforces safety practices with employees.
- Develop and maintain systems for quality health delivery. Ability to run reports and assess data to identify areas of improvement.
- Ensures best practices are implemented.
- Provides team building and support to create a professional collaborative working environment.
- Conduct participant chart reviews to ensure appointment follow-up has been conducted.
- Oversee daily clinic operations, include PCP scheduling, patient flow, and staff workflow.
- Ensures clinic licenses are current.
- Oversee lab services development and operation.
- Ensures each clinic has necessary equipment and that it is properly maintained.
- Monitors clinic supplies including ordering and maintenance.
- Provides oversite and complies with regulations for proper disposal of medications.
- Perform quality assurance oversight for medical records and clinical processes.
- Attends all required leadership meetings and trainings. Coordinates Clinic in-services with other departments.
- Acts in a manner consistent with agency values.
- Other duties as assigned.
Qualifications
EDUCATION &/or EXPERIENCE:
- Bachelor’s degree with emphasis in Nursing or another related healthcare field preferred.
- Two (2) years of experience working in a clinic or health care setting, and at least (1) year supervision experience required.
- At least one (1) year of experience working with a frail or elderly population preferred.
LICENSES OR CERTIFICATES:
- Registered Nurses must have a current California Board of Registered Nursing license in good standing.
- Valid California Driver’s License and personal auto liability insurance required. Must have a personal vehicle in good driving/operating condition, insured for State minimum liability requirements that can be used for the applicable job functions noted above.
- Current CPR and First Aid certification within six (6) months of hire.
PRE-SCREENING REQUIREMENTS:
- Requires clearance of a DOJ and FBI criminal history background check.
- Requires pre-employment physical, and PPD skin test (TB screening).
- Requires Motor Vehicle Report verification.
- COVID-19 and Influenza (flu) vaccines preferred.
JOB SKILLS:
- Demonstrated experience in quality assurance and performance improvement activities.
- Knowledge and experience working with the physical, social, and mental health programs operating within a licensed health facility or clinic.
- Ability to provide care for the frail and elderly and interest in working with elderly and disabled adults to enhance and encourage their independence.
- Ability to function effectively within a multi-service, community-based nonprofit agency.
- Ability to comply with program requirements and applicable government regulations.
- Sound verbal and written communication skills to convey information effectively. Ability to communicate effectively and openly with other team members on participant’s status and needs.
- Excellent interpersonal skills that result in maintaining a positive attitude, team-building and contribute to effective work relationships, successful negotiation, and conflict resolution with co-workers, management, participants, and community contacts including referral sources.
- Good judgment, resourcefulness, flexibility, and problem-solving skills.
- Ability to work independently and within an Interdisciplinary Team, representing a diverse team of various occupations.
- Strong administrative, organizational, and supervisory skills. Ability to train and delegate responsibilities among employees.
- Ability to work with, supervise, and discipline employees in a team setting.
- Ability to prioritize and complete duties within an agreed upon time frame and adjust personal schedule as required and adapt appropriately to changes in priorities and workload.
- Ability to incorporate an understanding of detailed requirements in work activities. Ability to collect and analyze data.
- Ability to coordinate, advocate, and cooperate with other agencies for seniors with tact and diplomacy.
- Ability to speak to public and private community groups about agency programs and to participate in various outreach and fundraising efforts as required.
- Strong basic computer skills (Microsoft Outlook, Word, Power Point, and Excel). Ability to navigate, use, and maintain database software programs. Basic knowledge of web-based applications such as timekeeping, training, and email programs.
SUPERVISORY REQUIREMENTS:
- This position supervises the following employees: Clinic Supervisors, Medical Assistants, and Phlebotomists.
- In coordination with Human Resources and other supervisory staff, oversees hiring, orienting, training, evaluating, disciplining, and terminating of specified departmental staff.
PHYSICAL REQUIREMENTS:
- Physical abilities sufficient to move between different staff work areas, communicate with staff and the public, operate a computer, produce reports, talk on the telephone, and travel to other worksites or participant homes.
