Position Title:

Rental Coordinator

Job Description:

We are looking for a Rental Coordinator to support our Gallivan Center team.

About the Position:

The Rental Coordinator will provide support to the Gallivan Center Rental Manager in overseeing the wide range of rental events held at the Gallivan Center each year. The Rental Coordinator is responsible for assisting with all phases of the rental process, including initial client inquiries, event planning and execution, and post-event billing. This role is essential in ensuring high-quality service and successful outcomes for clients. The Gallivan Center is a 3.5-acre event and rental venue located in the heart of downtown Salt Lake City, featuring an outdoor amphitheater, public art installations, multiple indoor and outdoor event spaces, and a seasonal ice rink that transitions into sports courts during warmer months. 

This is a full-time (40 hours/week) position working traditional business hours (Monday through Friday 8am to 5pm), although flexibility is required, as you may be required to work holidays, weekends, and/or evenings. This position is not eligible for a hybrid/work-from-home schedule. 

Key Responsibilities:

  • Assist with the coordination of rental events from inquiry through completion. 

  • Support event planning, scheduling, and logistics to ensure smooth operations. 

  • Serve as a point of contact for clients, vendors, and event partners. 

  • Monitor events on-site, providing guidance and support as needed. 

  • Ensure compliance with venue policies, safety standards, and contractual obligations. 

  • Assist with administrative tasks, including contracts, invoicing, and post-event billing. 

  • Collaborate with Gallivan Center staff to provide a positive guest and client experience. 

About the Team:


The Gallivan Center staff includes approximately 10 full-time employees and 25–30 part-time and seasonal team members dedicated to delivering professional, efficient, and welcoming service. With hundreds of thousands of visitors each year and year-round programming, the work environment is dynamic, fast paced, and collaborative. The Gallivan Center is committed to providing safe, inclusive, and high-quality experiences for all clients and guests. 

Position Salary Range:

Entry: $26.72/hr.

2 Year: $28.30/hr.

4 Year: $29.86/hr.

6 Year: $33.09/hr.

Minimum Qualifications:

  • Associate degree from an accredited college or university plus two years paid experience working full-time in an office environment or programming. Education and experience can be substituted on a year for year basis.

  • Ability to establish and maintain effective working relationships with event organizers, City staff and the public.

  • Ability to communicate effectively. Ability to present proposals and ideas.

  • Ability to analyze problems, develop and recommend solutions and make decisions.

  • Must be able to use and operate a personal computer and applicable software including word processing, spreadsheets, fax and Internet programs. This will include reservation software, financial software and maintenance work order systems.

  • Ability to pull data from systems and analyze data in a spreadsheet, to support manager’s ability to make effective decisions.

  • Ability to move from one location to the other.

Preferred Qualifications:

  • Experience with budgeting and record keeping.

  • Experience with event and/or venue management.

Working Conditions:

  • Moderate physical effort. Comfortable working positions, setting up and disassembly of chair risers, chairs, tables, and other furniture and equipment as needed, intermittent sitting, standing and walking; occasionally outdoors.

  • Some exposure to stressful situations as a result of human behavior and time constraints.
