Duties
Plan, coordinate, and logistically execute a variety of events as directed in support of Marine Corps Air Station Miramar (MCAS) and Marine Corps Community Services (MCCS) activities. Events include but are not limited to Family Fun Day, Military Spouse Appreciation Day, holiday celebrations, music concerts, VIP guest appearances, movie premieres, promotional giveaways, MCAS Air Station events, annual Air Show, and other ¿Events¿ as assigned. Develop, implement, and manage comprehensive timelines and event schedules. Provide expertise and operational continuity to ensure events are conducted in accordance with directives and policies. Plan and coordinate pre-event set up, day of event logistics, and breakdown of assigned events. Work with marketing team members to revise plans and modify events and activities as time sensitive situations develop. Calmly troubleshoot and resolve complex client problems/issues in a quick and efficient manner. Collaborate with vendors and sponsors to ensure their satisfaction with MCCS and to provide a stress-free, fun, and engaging experience for all. Establish and coordinate a core of volunteer personnel for events as required. Assist in the supervision of employees, volunteers, and temporary staff during events. Works with Digital Marketing Specialist to promote the event to ensure maximum visibility and promotional opportunities. Prepare pre-and-post event reports, briefs, presentations, etc. as needed to keep key stakeholders appraised of event status. Create and maintain event information and stats on past events for future reference. Responsible for management, organization, and cleanliness of the marketing department¿s warehouse and ancillary storage areas to include proper storage of merchandise to ensure the quality and integrity of items are preserved, maintain accurate records of product on hand, and accurate records for the dispersal of inventory per policy. Responsible for purchasing supplies for events and the marketing department and adhering to the Government Credit Card Purchase program, policies, training and testing requirements. Provide administrative support to process invoices, ensure contractual obligations from vendors and sponsors are met, create reports, briefs, press releases, assist in prize distributions, and coordinate delivery of products to the marketing department or special event location. Welcome visitors to the department, provide initial assistance, and direct complex issues to the appropriate person for resolution. May be required to maintain calendars, schedule appointments and meetings, route mail, and request information for the compilation of reports and data for the marketing department. Foster positive relationships with co-workers, clients, MCCS stakeholders, and military leadership, through effective communication and coordination. Provide exceptional customer service, and uphold high service standards using respect, courtesy, professionalism, and teamwork. Take initiative to solve problems quickly but recognize when to seek assistance to resolve issues. Collaborate in a professional, supportive, and proactive manner. Check for satisfaction with the quality of services provided. Adhere to safety regulations and standards. Use required safety equipment and observe safe work procedures. Promptly report any observed workplace hazards, and any injury, occupational illness, and/or property damage resulting from workplace mishaps to the immediate supervisor. Adhere to established standards of actively supporting the principles of the EEO program and prevention of sexual harassment. Perform other duties as assigned.

Qualifications
AA or BA in event planning, marketing, communications, or the hospitality industry AND a minimum of three years of recent relevant work experience as an event planner, coordinator, assistant planner, or similar role. Must have demonstrated experience in planning, administering, logistically supporting, and executing professional event related activities in the hospitality industry, marketing department, military installation/government agency, or related profession is required. Intermediate proficiency or above with Adobe Acrobat Professional and the Microsoft Office Suite of products. Must be a self-driven team player with exemplary time management skills to organize and coordinate multiple high visibility projects simultaneously. This position requires excellent customer service skills that include the ability to interact with a professional demeanor, maintain tact and diplomacy when under pressure, and adapt when faced with changing situations or priorities. Must be able to effectively communicate in writing and verbally with a broad range of individuals including civilian and military leadership, customers, vendors and co-workers. Must be able to accommodate a flexible work schedule to include nights, weekends, and holidays and maintain a current valid driver¿s license or obtain one within 30 days of employment. Moderate physical effort such as bending and stooping and lifting and carrying objects up to 45 lbs. independently, and objects over 45 lbs. with assistance, is required. Working conditions are both indoors and outdoors. Occasionally when working outdoors, the incumbent is exposed to warm and cooler temperatures, and inclement weather conditions. When working in the inventory warehouse, the incumbent will be exposed to drafts, noise, dust/dirt, and be required to stand for prolonged periods on concrete floors.
