Rubin and Rudman LLP is seeking a Conflicts Analyst to perform conflict of interest searches, reports, and analysis regarding incoming attorneys and new client business. The Conflicts Analyst will also be responsible for processing the Firm’s new matter openings and upkeep.


RESPONSIBILITIES: 

  • Perform conflict of interest searches for Attorneys and Administrative staff members 
  • Conduct research in the Firm’s internal and external databases on individual and corporate names for the purpose of determining any organizational relationships applicable to the search 
  • Respond to inquiries from Attorneys and Administrative staff members regarding conflict of interest checks and client matters
  • Perform various back-end duties 
  • Distribute daily New Matter reports 
  • Follow firm policies and procedures before any new clients or matters are opened 
  • Assist in ongoing data maintenance and projects to ensure the accuracy of the firm’s conflicts system 
  • Prepares and finalizes conflict check reports using the firm’s conflicts database to be sent to attorneys and other staff members
  • Communicates with attorneys and staff regarding conflict check results and any missing 
  • information from the request form
  • Communicate with attorneys by presenting clear information regarding potential conflicts recognized in the conflicts reports
  • Complete special projects and other duties related to Central Files Department as assigned


KNOWLEDGE, SKILLS AND ABILITIES:

  • Knowledge normally acquired through completion of a bachelor’s degree or equivalent experience.
  • Experience in a legal environment preferred 
  • Proficiency in Microsoft Office Suite, specifically Microsoft Excel, and proven aptitude to learn new software applications 
  • Knowledge of Aderant RMS is preferred
  • Strong computer, research, analytical, and proofreading skills 
  • Strong oral and written communication skills to solicit and communicate information effectively and professionally 
  • Strong organizational skills and attention to detail 
  • Ability to prioritize multiple tasks and work in a fast-paced environment 
  • Ability to perceive and analyze problems and develop alternative strategies to solve them
  • Ability to prioritize and handle multiple projects simultaneously
  • Demonstrates initiative, self-motivation, and an ability to work independently
  • Ability to work in a team environment with a customer service focus
  • Ability to handle confidential and sensitive information with the appropriate discretion
  • Works effectively with all members of the firm with tact and courtesy
