Job Summary:
We are seeking a highly organized and proactive Office Administrator & Employee Success Specialist to join our team. This dual-role position will be responsible for ensuring the smooth operation of our office environment while simultaneously focusing on enhancing the employee onboarding experience. The ideal candidate will be a detail-oriented individual with excellent communication and interpersonal skills, capable of managing diverse responsibilities with enthusiasm and efficiency.
Requirements
Office Administration:
- Keep the office running smoothly by managing supplies, equipment, and workspace cleanliness—creating a welcoming, productive environment for the team
- Handle incoming and outgoing mail, packages, and deliveries to support timely communication and daily operations
- Coordinate leadership meetings and travel logistics, including hotel bookings, flights, and dinner reservations for offsites
- Track and organize office-related expenses to support accurate budgeting and cost management
- Serve as the main point of contact for vendors and service providers, ensuring seamless office support
- Help keep the workplace safe, organized, and in line with important compliance standards.
Employee Success:
Take ownership of the pre-onboarding experience to ensure every new hire feels confident, welcomed, and set up for success from day one. Responsibilities include:
- Onboarding ambassadors help new employees understand and embrace the company's values, contributing to a stronger overall culture
- Making sure new hires have their email accounts and access to all key systems (like our CRM, enrollment tools, and internal platforms) set up before their start date
- Sending warm, personalized welcome emails that walk them through what to expect and how to prepare
- Scheduling onboarding sessions, team meet-and-greets, and trainings to help new hires feel connected and supported
- Coordinating equipment shipments, including ordering shipping labels, tracking deliveries, and ensuring they arrive on time
- Ensuring all required documents are completed and uploaded in the HRIS before day one—keeping everything organized and accurate
- Checking in with new hires before their first day to answer questions and make sure nothing slips through the cracks
- Collaborating with managers, IT, and the broader team to ensure every piece of the onboarding puzzle is in place
- Continuously looking for ways to improve the onboarding process, making it more efficient, consistent, and engaging—especially with the unique needs of the Medicare space in mind
Qualifications:
- Bachelor's degree in Business Administration, Human Resources, or a related field (or equivalent practical experience).
- Proven experience in an administrative or office management role.
- Experience in a role with employee relations or human resources responsibilities is a plus.
- Strong organizational and time management skills with the ability to prioritize tasks effectively.
- Excellent written and verbal communication skills.
- Proficiency in G Suite (Docs, Sheets, Gmail).
- Ability to work independently and as part of a team.
- High level of discretion and confidentiality.
- Proactive and problem-solving mindset.
- A positive attitude and a passion for creating a supportive work environment.
