What are Trust Fund Positions?
Trust Fund positions are unique to the Smithsonian. They are paid for from a variety of sources, including the Smithsonian endowment, revenue from our business activities, donations, grants and contracts. Trust employees are not part of the civil service, nor does trust fund employment lead to Federal status. The salary ranges for trust positions are generally the same as for federal positions and in many cases trust and federal employees work side by side. The campaign will provide a foundation for critical research to ensure people and nature thrive together, build unparalleled education programs with families and partners, collect the world’s most precious objects, document the present while reflecting on the past, and reimagine the visitor experience both in-person and online. We are bringing the Smithsonian off the National Mall and across the country through dynamic programming and affiliate partnerships, creating access for all. 
 
The Office of Advancement oversees and guides the fundraising efforts of the entire Smithsonian and is home to the central development organization for the Institution. In addition to raising significant support for a variety of Smithsonian initiatives, the Office of Advancement provides support services to advancement offices across the Institution. The office engages with staff throughout the Smithsonian in accomplishing their goals.

DUTIES AND RESPONSIBILITIES

The Membership Systems Manager, reports to the Advancement Information Services & Technology (AIS&T) Director, and leads all aspects of system support for 4 membership programs with 190,000 members and over $20 million in annual revenue, including supervision of the membership programing and production support team, providing technical and business process leadership to membership staff, and maximizing the utility of the advancement systems to the membership community. We are shifting our operations to the institutional CRM and an institutional membership model in Salesforce ecosystem. In the Institutional CRM, now known as JAMES, (Joint Audience and Membership Engagement System), membership has a custom application built specifically to the Smithsonian’s membership requirements. There are several core elements for this role:
  • Converting membership data from Tessitura, other Salesforce instances and PANDA to the JAMES’ membership module.
  • Developing membership policies and procedures relevant to JAMES.
  • Standardizing the membership module application while simultaneously delivering features for SI’s unit membership programs.
  • Providing day-to-day guidance on system use to membership staff and vendors, executing and delivering production data extracts, updates and reports in alignment with the production schedule.
  • Completing data validation and ad-hoc requests for information using JAMES front end reporting, SQL, Excel, Tableau and other tools.
  • Design and deployment of comprehensive membership reports across the enterprise based on user role and unit. 
  • The Membership Systems Manager leads the membership technical team and provides technical and program leadership to membership staff. 
Identifies membership and giving system requirements by:
  • Documenting existing workflows and processes and applying automation wherever possible
  • Working closely with the units to standardize data inputs and processes, improve business needs and complex projects
  • Analyzing data, identifying anomalies and causes, developing remediation strategies
  • Collecting information about best practices in membership, direct marketing, segmentation, reporting and application of technology to support the advancement function
  • Interprets, analyzes, and refines complex functional and data requirements and translates these into systems requirements.

QUALIFICATION REQUIREMENTS

Qualified candidates will have experience in fundraising and membership, including: membership, fulfillment, individual giving, online giving and annual giving; Salesforce, data management and reporting; direct marketing techniques used in acquisition, renewal and appeals and combine this functional experience with technical skills. 
 
Technical skills required are: 
  • Bachelor’s degree in Information Technology, Business Administration, or a related field, or equivalent work experience. Master’s Degree preferred.
  • 2-5 years of experience as a Salesforce Administrator, preferably in a membership-based or service-driven organization.
  • Salesforce Administrator Certification (ADM-201) preferred; additional certifications (Advanced Admin, Platform App Builder), or experience in other fundraising databases are a plus.
  • Strong experience with Salesforce configuration, including Reports & Dashboards, Security & Sharing settings, and process automation.
  • Familiarity with SQL and ETL tools (Data Loader, Import Wizard) and third-party integrations (e.g., marketing automation).
  • Successful candidates will have strong interpersonal and communications skills necessary to work with technical and non-technical staff.
  • Experience with Development Operations tools such as JIRA, Copado, or others are a plus.
