We are a leading company in the 3PL/forwarding industry seeking an experienced Accounts Payable Specialist to join our finance team. Our organization utilizes Magaya as our primary system for logistics and financial management. We are now seeking a full-time Accounting Coordinator to join our growing team in our Houston, TX location. The Accounting Coordinator is responsible for supporting both accounts payable and accounts receivable functions, while also assisting with financial analysis and reporting. This versatile role requires attention to detail, strong organizational skills, and the ability to handle multiple priorities in a dynamic environment.
Your Mission & Responsibilities:
- Process and verify invoices, expense reports, and payment requests
- Generate and distribute customer invoices and statements
- Monitor accounts receivable aging and assist with collections
- Maintain and reconcile Statement of Accounts (SOA) with vendors
- Perform month-end closing procedures and prepare related reports
- Review and resolve discrepancies in vendor and customer accounts
- Maintain vendor and customer records and filing systems
- Process check runs and electronic payments
- Respond to vendor and customer inquiries regarding payment status
- Prepare analysis of accounts and produce monthly reports
- Assist with financial analysis and ad hoc reporting projects
- Assist with annual audits and provide necessary documentation
- Identify opportunities for process improvements within the accounting function
- Ensure compliance with company policies and procedures
- Work with the Magaya system to manage freight costs, vendor payments, and customer billing
- Collaborating with other departments to resolve accounting issues
Who You Are:

Qualifications Required:
- 3-5 years of experience in accounting, with exposure to both AP and AR functions
- Advanced Excel skills for data analysis and reporting
- Experience with ERP systems, with Magaya experience preferred
- Strong understanding of accounting principles and procedures
- Detail-oriented with high accuracy in data entry and financial calculations
- Excellent problem-solving skills and ability to work under pressure
- Proficient in managing multiple priorities and meeting deadlines
- Associate or bachelor's degree in accounting, Finance, or related field
Preferred Skills:
- Experience with freight forwarding and logistics financial operations
- Knowledge of international payment procedures and currencies
- Understanding of customs, duties, and related charges in logistics
- Experience with financial analysis and reporting
- Experience with process improvement and automation
- Proficient in Magaya or similar logistics management systems
- Advanced Microsoft Excel skills (pivot tables, VLOOKUP, macros)
- Experience with accounting software and ERP systems
- Strong analytical and mathematical abilities
- Excellent communication and interpersonal skills
- Ability to manage multiple tasks efficiently
- Attention to detail and high level of accuracy
- Problem-solving and critical thinking skills
Working Conditions:
This is a full-time position with standard office hours (onsite). The role involves sitting for extended periods and computer work. Occasional overtime may be required during month-end closing or audit periods.
