To provide clerical support to the department and informative reception to campus or departmental visitors.
About This Opportunity
Joining our Physician Assistant team, the Administrative Assistant for Physician Assistant and Psychology department will be responsible for the following:
- Budgets:
- Maintain budget data and files as required.
- Purchase requisitions and Deposits: Process all necessary paperwork documents according to institutional protocol with payment follow-up through 'Datatel'. Through 'Self Service', 'Budgetpak', secure required signatures and submit to proper processing department.
- Maintain outside faculty database and paperwork required by the Business office.
- Maintain Accreditation account.
- Department supply ordering.
- Facilities/Maintenance requests.
- Instructional technology (IT) and technology service requests.
- Print Shop and Publications ordering and pickup.
- Collect and file student documents and maintain related databases.
- Oversee maintenance of all office equipment, supplies, and repairs.
- PA/Psychology department direct calls: answer inquiries in a professional manner, take messages or redirect call to the appropriate party.
- Process exams and forward results to faculty as requested.
- Student assessment proctoring as needed.
- Keyboarding and assisting faculty in course managements needs as requested.
- Schedule and coordinate meeting spaces and other room reservations as requested. Use department reservation calendar and University wide reservation personnel in the Conference Office and Registrar's Office.
- Learning Management System (LMS) (currently 'Blackboard') input as requested by faculty.
- Scheduling Program Director's/Department Chair's appointments as requested using Google calendar.
- Receive, distribute, and manage daily department mail.
- Assist with meeting arrangements including but not limited to room reservations, invites, dining areas and food arrangements with Daemen Dining and outside vendors, Facilities/Maintenance setup requests, guest list maintenance, and other as needed.
- Request work-study student(s), establish schedule, and share supervisory duties with other department staff and faculty.
- Occasional moving of light equipment from room to room and/or building to building.
- Prepare and update student academic advisor lists for all PA classes, maintain email lists in Google Drive, prepare new First Year Students in July/August in Google Drive.
- Maintain databases for alumni, PA students, adjunct faculty, contract faculty, and regular faculty.
- Update course evaluation spreadsheets from SurveyMonkey.
- NCCPA and PAEA data management.
- Attend program meetings and take minutes.
- Assists the Academic Progress Committee Chair with maintenance of student records.
- Purchase EOR, EOC, PACKRAT exams from PAEA.
- Collect and maintain student certificates including BLS, Infectious Disease, ACLS, Work Forms, MAT Training, etc.
- Additional duties as assigned.
- Verification for graduation for credentialing as requested by graduates or prospective employers.
Required Qualifications
- Previous office experience and Microsoft Office proficiency required.
- Must work cooperatively and collaboratively with all department personnel and all other members of the campus community.
- Ability to multi-task, effective communication skills, accuracy and attention to detail is essential. Requires a high level of flexibility in workload.
- High School GED; preferred 2- or 4-year degree.
