Job Summary

The Adoptions Supervisor is responsible for oversight of the adoptions lobby of the Humane Society of Pikes Peak Region, Colorado Springs location by supervising and supporting staff to ensure excellent customer service to the guests and animals coming into the shelter. The Adoptions Supervisor ensures an environment of compassionate and respectful animal and people care in accordance with HSPPR's mission, values, goals, and philosophies.

Key Duties and Responsibilities

  • Provide leadership oversight in the adoptions lobby to ensure staff support, transactions, and guest interactions are executed properly and efficiently, and that quality customer service is being delivered at all times.
  • Recruit, train, mentor, and supervise adoptions representatives and specialists. Oversee scheduling, training, corrective action documentation, and staff development.
  • Support and train volunteers assigned to the adoptions department.
  • Provide accurate information and friendly service to the public.
  • Oversee workflow and foresee problematic transactions before the need for escalation and act accordingly.
  • Keep the adoption customer service area clean, uncluttered, and stocked.
  • Schedule adopted animals for surgery as needed.
  • Cover all daily reports and complete them promptly.
  • Assist in maintaining the adoptions department training materials.
  • Handle complaints and/or concerns from customers with professionalism and good judgment. Involve the Adoptions Manager and/or Director when necessary.
  • Conducts department staff meetings and staff member one-on-one's.
  • Monitor workload in Adoption area and adjust schedules and staffing levels to meet quality customer service standards and the needs of the department.

  • Attends necessary meetings.
  • Communicates pertinent information to staff, managers and directors and ensures that department supervisors are communicating effectively with line staff.
  • Communicates and problem-solves with other department supervisors.

  • Ensures that policies and procedures are being followed.

  • Supports management and discusses differences privately.

Development

  • Encourages the use of volunteers and the solicitation of monetary and in-kind donations whenever possible.

Fiscal Responsibility

  • Works closely with management to ensure that the department operates within the constraints of the annual budget.

Staff Management

  • Utilizes performance-based management when counseling and evaluating staff and sets measurable goals for employee growth.
  • Submits evaluations on time and encourages continuing education for staff as it relates to the organization's needs.
  • Recognizes good performance and counsels staff to correct problems.

Availability

  • Will include a regularly scheduled weekend day.
  • Shifts worked 10:30-7pm.
  • Fully on-site position.

Supervisory Duties

  • Supervises Adoptions Representatives and Adoptions Specialists.

Working Conditions

Because of the fast-paced and variable environment of HSPPR's Customer Service Department, The Adoptions Supervisor must possess above-average stress-coping skills and be able to relate to people of all ages and backgrounds. Supervisors are frequently exposed to patrons who may be confused, irrational, agitated, and/or uncooperative. Supervisors are frequently exposed to animals in various stages of distress; mental, emotional, and/or physical. Supervisors must be able to work accurately around frequent interruptions. Personnel in this role may face hazards from exposure to chemicals, infections, and zoonotic diseases.

Physical Demands

  • Regularly sits at a computer station.
  • Must be able to lift, push, and pull a minimum of forty pounds with reasonable accommodation.
  • Must be able to be on their feet for extended periods.
  • Typically stands, bends, stoops, and crouches.
  • Consistently exposed to animals in the workplace and animal allergens under conditions with limited alternatives available.
  • Periodically drives an HSPPR Vehicle to perform duties.

Schedule Requirements

Available to work occasional evenings, weekends, and holidays.

Education/Experience Necessary

  • Ability to effectively read, write, interpret, communicate, perform basic problem solving, and perform basic math as commonly expected from completion of a High School Diploma or Equivalent Education
  • Two years in a customer-facing position.

Required Skills

  • Must be able to communicate effectively, both orally and in writing.
  • Possess the ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals.
  • Ability to write routine reports and correspondence.
  • Ability to speak effectively before groups of customers and/or co-workers.
  • Ability to add and subtract.
  • Ability to manage problems involving several variables in standardized situations.
  • Ability to apply critical thinking to a situation to apply the best possible solution/outcome.

Preferred Skills

  • Experience with Microsoft Office and Chameleon or other shelter management software.
  • Prior supervisory experience.

Certificates, Licenses, Registrations

  • EBI (euthanasia by injection) Certification Preferred – ability to obtain within one year of hire
  • CO Driver's license is highly desired.
