GENERAL SUMMARY
Under general supervision of the Practice Manager, the Scheduling Supervisor works to assist with maintaining patient flow and quality care during clinic hours. The Scheduling Supervisor works as part of a health care team including physicians, nurse practitioners, physician assistants, front desk, medical records, and medical assistants to provide comprehensive care.

ESSENTIAL JOB FUNCTION/COMPETENCIES
Responsibilities include but are not limited to:
- Acts as primary resource for schedulers.
- Participate in new hires interviews and responsible for the orientation and training of new hires.
- Collaborates with administrative staff and physicians to optimize efficiency of a variety of related services ranging from inpatient care to outpatient follow-up care.
- Provide back up support for the schedulers.
- Assist in the oversight of office and schedules.
- Assist in the supervision of work and performance of scheduling staff including input for performance reviews and corrective action plans as needed.
- Assist with intake and set-up for patient visits.
- Assist with the training of all schedulers.
- Assist as needed including medication refill requests, specialty and procedure referrals.
- Review encounter forms for completeness and to assess follow-up as needed.
- Assist with clinic scheduling problem solving, patient wait times, and other areas of concern to increase efficient and quality services.
- Maintains scheduling system so records are accurate and complete
- Assists in organizing and participating in quality improvement activities.
- Perform other administrative tasks as assigned by the Practice Administrator.
- Communicates as needed with physicians/clinicians and other staff about any patient concerns or issues related to scheduling.
- Fulfills clerical responsibilities as assigned that may include sending/receiving patient medical records; obtaining lab/X-ray reports, hospital notes, referral information, test results, etc. timely and in preparation for applicable appointments; managing and updating charts to ensure that information is complete, that the patient’s medical record is current, and that the documents are filed appropriately; completing forms/requisitions as needed; document scanning and indexing.
- Assist with other administrative projects and tasks as needed.

- Performs other position related duties as assigned.
- Employees shall adhere to high standards of ethical conduct and will comply with and assist in complying with all applicable laws and regulations. This will include and not be limited to following the Solaris Health Code of Conduct and all Solaris Health and Affiliated Practice policies and procedures; maintaining the confidentiality of patients' protected health information in compliance with the Health Insurance Portability and Accountability Act (HIPAA); immediately reporting any suspected concerns and/or violations to a supervisor and/or the Compliance Department; and the timely completion the Annual Compliance Training.

EDUCATION REQUIREMENTS
- High School Diploma or equivalent required.
EXPERIENCE REQUIREMENTS
- 1-3 years of relevant experience working in a medical facility with front office experience. Supervisory experience preferred.
