About the Role
The Pennsylvania Institute of Technology (P.I.T.) seeks a highly skilled and trusted Executive Assistant to the President to serve as the President’s right hand and primary liaison to the Board of Trustees. This senior-level administrative role requires exceptional judgment, absolute discretion, and the ability to manage complex priorities in a dynamic, mission-driven environment.
As a direct extension of the President’s office, the Executive Assistant plays a central role in advancing the institution’s goals, coordinating key initiatives, and maintaining smooth executive operations. The ideal candidate will be a self-starter who anticipates needs, brings calm to complexity, and is equally comfortable leading board processes, preparing institutional communications, or handling sensitive matters with care, including the occasional personal task on behalf of the President. This individual must be able to manage up effectively, act as a trusted thought partner, and serve as a central communications hub to ensure alignment across leadership and the Board.
In addition, the role may include serving as the College’s Scholarship Coordinator, overseeing the administration of scholarship programs and ensuring fair, timely, and well-documented processes that directly support student success.
Key Responsibilities
Executive Support
- Serve as the President’s trusted partner, managing the daily flow of activities, communications, and commitments
- Coordinate and protect the President’s schedule with careful attention to priorities, relationships, and institutional visibility
- Draft and edit high-stakes correspondence, talking points, and briefing materials for internal and external audiences
- Handle confidential information with discretion and sound judgment
- Support both professional and occasional personal tasks that contribute to the President’s effectiveness and efficiency
- Provide proactive counsel, helping the President prioritize, frame decisions, and anticipate challenges and opportunities
Board Governance & Institutional Liaison
- Act as the primary liaison to the Board of Trustees, ensuring seamless coordination of all board activities
- Manage board and committee meetings: prepare agendas, compile materials, take minutes, and track follow-up actions
- Maintain official records, support trustee on-boarding, and monitor compliance with governance practices and bylaws
- Serve as a communications hub between the President, trustees, senior leadership, and external stakeholders to ensure clarity and consistency of messaging
Project & Operational Leadership
- Drive cross-departmental coordination and follow-through on key initiatives led by the President’s office
- Collaborate with senior leaders, faculty, staff, and external partners to move projects from planning to execution
- Support and/or chair institutional committees at the request of the President
- Plan and execute presidential events and visits with stakeholders, partners, and donors
- Identify ways to improve processes, reduce friction, and support an efficient, responsive executive office
- Demonstrate the ability to “manage up” by keeping the President well-informed, surfacing key issues, and ensuring strategic focus
Scholarship Coordination
- Administer institutional and donor-funded scholarship programs, ensuring compliance with eligibility requirements
- Organize application, review, and award processes
- Serve as a liaison between students, faculty, and financial aid regarding scholarships
- Track awards, prepare reports, and ensure timely communication with recipients and stakeholders
Qualifications
- College degree required
- At least 5 years of experience supporting a President, CEO, or equivalent senior leader, ideally in higher education or a mission-driven nonprofit
- Strong written and verbal communication skills, with an ability to draft high-quality correspondence, remarks, and reports
- Demonstrated success managing complex calendars, meeting logistics, and sensitive communications
- Excellent judgment, discretion, and organizational skills
- Experience with board support, governance processes, and/or project management is strongly preferred
- High emotional intelligence and a collaborative, professional demeanor
- Proficiency in Microsoft Office and comfort with board portals or document management tools
- Ability to work occasional evenings or weekends to support key meetings or events
