Location: McNair Center for Free Enterprise and Entrepreneurship, University of St. Thomas, Houston, TX

Job Type: Part-Time, Flexible Hours (combination of remote and on-site work for meetings and events)

 

The University of St. Thomas (UST), a private Catholic university committed to the liberal arts and the religious and intellectual tradition of Catholic higher education, located in Houston, Texas, near the vibrant central business district, Texas Medical Center, and Museum District, is seeking applicants for a part-time Administrative Assistant for the McNair Center for Free Enterprise and Entrepreneurship. This position reports directly to the Center Director.

 

The McNair Center fosters innovation, entrepreneurial leadership, and a spirit of free enterprise among students and alumni. Through regular programming such as pitch events, speaker sessions, and student leadership development, the Center plays a central role in building the university's entrepreneurial ecosystem.

 

Job Summary:

The Administrative Assistant will provide operational, marketing, and logistical support to ensure the smooth execution of the McNair Center's programs, events, and initiatives. Responsibilities include event coordination and promotion, merchandise and inventory management, oversight of student activities, and supervisory support for the Center's 3D Printer Lab operations.

 

Key Responsibilities:

  • Program Coordination & Operations
  • Provide logistical and administrative support for recurring events:
  • Rolling Pitch (biweekly pitch series)
  • StartupMax (monthly speaker sessions)
  • Emerging Topics Speaker Series (entrepreneurship and innovation talks; branding in development)
  • Coordinate event logistics, including scheduling, refreshments, room setup, materials, and follow-up communication.
  • Marketing & Communications
  • Create and manage marketing materials for all Center events (flyers, email campaigns, social media).
  • Collaborate with the University's Marketing and Communications office to amplify outreach.
  • Maintain event calendar and assist with updates to the Center's website and promotional platforms.
  • Student Engagement & Club Support
  • Support the Pioneer Society (Entrepreneurship Student Club) in planning, promoting, and executing student-led programming.
  • Serve as a liaison between student leaders, the Center, and other University departments.
  • Directory & Inventory Management
  • Maintain and update the Celtepreneurs Directory of student and alumni entrepreneurs.
  • Order and track McNair-branded merchandise and event supplies.
  • Manage inventory and oversee distribution during events or student club activities.
  • 3D Printer Lab Oversight
  • Provide supervisory oversight of the McNair Center's 3D Printer Lab Student Assistant.
  • Ensure proper lab operation and coordinate communication between the assistant, Center staff, and technical support if needed.
  • Monitor lab usage records and support safety and supply tracking protocols.
  • Administrative Support
  • Take notes during team meetings and events and maintain organized records.
  • Track action items and assist with reporting and documentation of Center activities.
  • Coordinate communications with students, faculty, alumni, and external partners.

 

Qualifications:

  • 1–2 years of experience in administrative support, student programming, or event coordination.
  • Strong organizational skills and excellent written/verbal communication abilities.
  • Demonstrated ability to work effectively both independently and as part of a team.
  • Familiarity with digital tools (Google Workspace, Microsoft Office, Canva, or similar platforms).
  • Interest in entrepreneurship, innovation, or student engagement is strongly preferred.
  • Flexibility to work occasional evenings and weekends for events (approximately 2–4 per month).

 

Preferred Qualifications:

  • Experience supervising student workers, volunteers, or interns.
  • Background in merchandise/inventory coordination or office management.
  • Familiarity with university systems or a startup-oriented environment.

 

Compensation & Schedule:

  • Hourly Rate: $25/hour
  • Schedule: Approximately 20 hours per week, with flexible hours based on events and operational needs
  • Work Mode: Hybrid (mix of remote and on-campus duties)
