Role:

Serves as part of a dynamic team working collaboratively to provide operational support for Individual Retirement Accounts (IRAs) and Specialty Deposit Accounts (such as estate, conservatorship, representative payee, and trust accounts), ensuring compliance and quality service through applicable systems and credit union procedures. Provides recommendations and supports the pursuit of the credit union's Vision, Mission, Values, and Purpose.

 

Essential Functions & Responsibilities:

35%    IRA and Specialty Account Support: Accurately completes tasks related to the administration of Individual Retirement Accounts (IRAs) and Specialty Deposit Accounts, including account openings, conversions, maintenance, distributions, contributions, rollovers, account closures, and updates. Ensures timely and accurate uploading of tax files to Ascensus, and initiates timely corrections as needed. Assists with all recurring IRA responsibilities, daily, weekly, monthly, quarterly, semi-annually, and annually, adhering to strict deadlines and regulatory requirements. Assists in the full processing of inherited IRAs, IRA death claims, and specialty account transitions transactions (such as estates, conservatorships, and trust accounts), escalating complex issues appropriately. Maintains up-to-date knowledge of IRS regulations and internal policies applicable to these account types. Maintains continuing education and certification in IRA and specialty account-related regulations and practices.

 

35%    Internal and Member Service Support: Delivers professional, knowledgeable, and responsive service to internal departments and external members through phone, email, and internal communication channels. Responds to inquiries regarding IRA and Specialty Account policies, documentation requirements, and regulatory guidelines using Rogue’s Service Promises. Resolves member requests accurately and efficiently. Delivers prompt and professional responses to member and staff inquiries through phone, email, and internal messaging.

 

25%    Department Support: Actively engages in cross-training across all functional areas within the Deposit Operations department to build a well-rounded understanding of departmental functions. Demonstrates flexibility and reliability by serving as a backup for team members during periods of high volume, absences, or shifting priorities. Maintains an operational awareness of department-wide workflows to provide effective, knowledgeable support where needed. Contributes meaningfully to the achievement of department goals by aligning daily responsibilities with broader objectives. Participates in strategic discussions and collaborates with peers to ensure team success. Commits to ongoing process improvement by identifying opportunities to streamline operations, enhance accuracy, and improve the member experience.

 

5%     Proactively completes additional job responsibilities to support department and organizational goals. May assist in special projects, quality assurance, or compliance activities as needed.

 

Knowledge & Skills:

Experience: One year to three years of similar or related experience working in a financial services environment, preferably involving IRAs, deposit operations, or back-office support functions.

 

Education: A high school education or GED; additional coursework or experience in finance, banking, or business operations is desirable. Ongoing Educational Requirements: Must complete Ascensus Certified IRA Specialist training within 12 months of hire and maintain certification through ongoing education. Maintain IRA Specialist certification by completing 24 credits every 3 years, which must include Ascend, Virtual Compliance and Education Summit, or IRA Institute.

Interpersonal Skills: Work involves contact with persons beyond immediate associates regarding routine matters for the purpose of giving or obtaining information which may require some discussion. Outside contacts take the form of service to the public (members or vendors), requiring ordinary courtesy in providing assistance and information.

 

Other Skills: Strong verbal, written and listening communication skills with a service-oriented mindset. Strong organizational and time management skills. Strong attention to detail, time management skills, and the ability to work independently under general supervision. High level of member service and interpersonal skills required to be successful, including loyalty, trustworthiness and the ability to instill confidence in people. Strong analytical and interpretation skills. Effective written and oral communication skills. Functional skills with Word, Excel, and Outlook.

 

Physical Requirements: Some adjusting or moving objects up to 30 pounds in all directions. Must be able to remain in a stationary position, often standing or sitting for prolonged periods. Repeating motions that may include the wrists, hands and/or fingers while using computer. Communicating with others to exchange information. Perceiving the nature of sounds at normal speaking levels or without correction. Ability to receive detailed information through oral communication and make fine discriminations in sound. Close and continuous visual acuity to perform activities such as: preparing and analyzing data and figures, transcribing, viewing a computer terminal, and extensive reading

 

Work Environment: Normal workday with occasional overtime. May require working Saturdays. May include evening or early morning travel with overnight stays. Travel to all credit union regions may be required. Exposed to potentially hazardous conditions, e.g., robbery.
