Schedule: M-F 8am to 5pm; 100% in office role

The Office Manager and Executive Support is an in-office (not remote) position. This role is responsible for ensuring the efficient operation of the office and providing essential support to designated executives. This position combines administrative, managerial, and property management-related tasks to help the team succeed in managing and maintaining properties effectively. The ideal candidate will be a proactive and organized professional with a real estate or property management background.


What You’ll Do…

  • Manage office services such as supplies and equipment, mail and courier services, and office security.
  • Develop and implement policies and procedures to ensure the efficient and effective operations of the office and facilities.
  • Manage maintenance repair of office equipment and building systems, such as HVAC, electrical, and plumbing.
  • Plan and coordinate office moves, renovations, and expansions.
  • Manage budgets for office and facility expenses and ensure that expenditure stays within budget limits.
  • Ensure that office and facilities comply with health and safety regulations.
  • Negotiate contracts with vendors, service providers, and suppliers.
  • Plan and execute office events and parties, such as the annual holiday party, the summer company events, monthly luncheons, and assisting with the annual Leadership Conference. Plan and execute arrangements for quarterly BOD meetings.

Requirements

What You Need to Succeed…

  • 1+ years of proficiency with Microsoft Excel (formulas, visuals), Word (mail merge), and PowerPoint required.
  • 1+ years of professional experience in a fast-paced environment required.
  • 3+ years of experience as an office manager and/or facilities manager required.
  • Experience with contracts and renovations preferred.
  • High attention to detail.
  • Impeccable judgment and ethics.
  • Promote and demonstrate a positive, can-do, and team-oriented attitude.
  • Ability and willingness to adjust priorities quickly based on the needs of the organization.
  • Proficiency in platform management technologies
  • Pass criminal background screening prior to employment.
  • Possession of a valid driver's license and up-to-date vehicle insurance OR reliable transportation is required.
