About the Department
Alabama State University invites applications to fill the position of Accounts Payable Specialist. The selected applicant will report to the Accounts Payable Supervisor to complete payments and control expenses by processing, verifying, and reconciling invoices.
Duties and Responsibilities:
- Reconciles accounts by comparing vendor statements with related accounting data and the accounts payable subsidiary ledger to assure agreement. Reviews purchase orders, invoices and related documents prior to computer processing and edits computer processed data before final processing.
- Verifies accuracy of vouchers and receiving documents by coordinating with Procurement and the Receiving, Distribution, and Inventory Departments.
- Maintains a filing system consisting of accounting documents and computer printouts.
- Ascertains that check register reports are generated and filed on a timely basis.
- Assists in the processing of all Federal and State requirements in a timely manner, i.e. 1099s,etc.
- Ensures all cash advance packages are reconciled.
- Process payments for cash advances and travel reimbursements.
- Performs other related duties as assigned.
Minimum Qualifications
High school diploma or GED with at least 3 years of experience in Accounts Payable or a Bachelor of Science degree in a related field, working knowledge of the generally accepted accounting principles and procedures, knowledge of business practices relating to the disbursement of cash, excellent verbal and communication skills, proficiency in Microsoft Office, PeopleSoft Financials or related software, and have excellent organizational, time management, attention to details and teamwork skills.
