Position:  Contract & Payment Coordinator

Department: Programming  

Role Overview: Reporting to the Chief of Staff, this position has a strong focus on contracts, payments, and administration for the Programming department and the Summer for the City Festival. The coordinator’s primary responsibility is to facilitate completion of contracts and process artist and vendor payments as well as department calendar management and visa support documentation creation.

 

Responsibilities:     

  • Working closely with Line Producers, draft contracts for a wide range of artistic programs and short-term engagements.
  • Process completed contracts for signature through DocuSign.
  • Assist Line Producers with collection of tax documents and artist payment information.
  • Create and maintain electronic files for contracts, tax documents, and payment information in department SharePoint and Digital Asset Management systems.
  • Process weekly payments for artists and vendors based on contract terms and performance dates through NetSuite and in collaboration with the Accounts Payable and Purchasing teams.
  • Assist Company Managers and Line Producers with expense tracking and reconciliation.
  • Process monthly credit card reconciliations through NetSuite.
  • Maintain payment records and status in Monday.com.
  • Work with Chief of Staff, curators, and producing team to maintain overall department calendar, including tracking department calendar holds and liaising with Performance and Campus Operations for the holds request process and date challenges.
  • Assist Chief of Staff with season tracker and planning board creation and maintenance on Monday.com.
  • Assisting curators and producing team with the creation of documents required to support international artist performance visas.
  • Additional projects and responsibilities as assigned by supervisor.
