Provides customer service to all Medical Center employees for record keeping and inquiry purposes. Provides general records information to Administrators and Department Heads as requested. Ensures that all employees are processed for payroll purposes. Maintains records, including but not limited to, employment verification and maintenance of employees’ files. Has complete oversight of the personnel records in the HR file room.
Responsibilities:- Creates and maintains accurate employee files for all new hires.
- Inputs employee data into Lawson system (excluding benefits) necessary to create or update employee personnel screens.
- Inputs initial registrations and certification dates into Lawson. Also inputs the I-9 information into Lawson and follows up on compliance for employment eligibility. Inputs separations of employees into Lawson.
- Prepares all documents necessary for smooth transition of incoming and outgoing house-staff residents on an annual basis.
- Enters all information in Lawson for payroll purposes.
- Works closely with House-staff Coordinator to facilitate this process.
- Interacts with Recruiters, and other HR personnel regarding requirements/compliance for onboarding new hires. Maintains ongoing licensure compliance.
- Ensure all filing materials are filed in a timely manner.
- Updates performance evaluation dates as required.
- Responds to employment verification requests either by telephone, mail or fax.
- Provides employment verification letters for employees.
- Completes Biometrics for all staff.
- Informs HR Director of problems or questions relating to the Records area that cannot be resolved.
- Creates reports as requested by HR Director
- Maintains employees’ files and maintains employees’ confidentiality at all times.
- Verifies that staff licensure is up to date and sends out notices to departments with late notices. Follows up with department to receive current verifications and registrations, prints and places in employee files.
- All other duties assigned by leadership.
Education:
- High Diploma or Equivalent.
- Bachelor’s Degree preferred.
Experience:
- Minimum two (2) years general office experience preferably in a Human Resources Department.
Knowledge and Skills:
- Computer literate in Microsoft Word, Excel,
- Knowledge of Lawson and Kronos systems is helpful.
- Excellent interpersonal skills required.
- Understands filing systems for accurate storage.
- Excellent attention to detail.
- Ability to interact with other HR personnel in a professional manner.
- Ability to multitask.
Physical Requirements:
- Position requires prolonged periods of sitting and use of a computer and screen viewing throughout the working day.
- Position will be required to stoop, bend, lift, and carry items weighing up to 25 pounds.
