Executive Assistant
Reports to: CEO

JOB DESCRIPTION
Summary/Objective
The Executive Assistant provides high-level administrative support to four C-level executives at Expansion Capital Group. This role requires exceptional organizational skills, attention to detail, discretion, and the ability to anticipate the needs of busy leaders in a fast-paced fintech environment. The ideal candidate is resourceful, proactive, and thrives on helping others succeed.
Essential Functions
- Provide administrative and operational support to assigned executives and their departments.
- Proactively manage complex calendars, including meeting scheduling, travel, focus time, and planning periods.
- Coordinate and manage all aspects of domestic travel and offsite logistics: flights, hotels, drivers, meetings, accommodations, meals, and itineraries.
- Monitor, organize, and triage executive email inboxes—highlighting urgent messages, drafting responses, and filtering unnecessary content.
- Schedule and attend meetings on behalf of executives, take notes, assign follow-ups, and distribute action items.
- Prepare and proofread a variety of business documents, including presentations, memos, board materials, reports, and correspondence.
- Track key project deadlines and follow up to ensure timely delivery of materials and completion of tasks.
- Process executive expense reports and assist with invoice approvals, coding, and submission as needed.
- Support departmental needs related to scheduling, materials preparation, communication, and administrative coordination.
- Maintain a high level of discretion and confidentiality in handling sensitive company and personnel information.
- Act as a liaison between executives and internal/external stakeholders.
- Uphold standards of professionalism and responsiveness, including availability to support executives during travel or after hours in urgent situations.
- Perform other duties and projects as assigned.

Required Education and Experience
- High school diploma required, bachelor’s degree in business administration or related field preferred.
- Minimum of four years of executive-level administrative experience.
- Experience supporting multiple leaders simultaneously preferred.
Supervisory Responsibility
This position does not have any supervisory responsibility.
Work Environment
This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.
Physical Demands
The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.
This is largely a sedentary role; however, some filing is required. This would require the ability to lift files, open filing cabinets and bend or stand on a stool as necessary.
Position Type/Expected Hours of Work
This is a full-time position, and hours of work and days are Monday through Friday, 8:00 a.m. to 5:00 p.m. Occasional evening and weekend work may be required as job duties demand.
