Job Description: Life-Safety Project Coordinator

What Success Looks Like: 

Accurate Project Cost Tracking 

  • Tracks labor, materials, subcontractor costs, and equipment rentals against budget. 
  • Flags cost overruns early and works with PMs to investigate variances. 
  • Maintains real-time visibility into job costing across all active projects. 

Effective Budget Management 

  • Assists with creation of baseline budgets and change order tracking. 
  • Ensures all budget changes are documented, approved, and reflected in forecasts. 
  • Helps maintain margin integrity across the project lifecycle. 

Invoice & Billing Coordination 

  • Prepares accurate progress billing, AIA draws, and time & materials billing packages. 
  • Works closely with accounting to ensure timely invoice submission and revenue recognition. 
  • Ensures all billing aligns with contract terms and milestones. 

Change Order & RFI Tracking 

  • Monitors and updates cost impacts of change orders and RFIs. 
  • Tracks approval status and supports documentation flow between PMs and clients. 
  • Prevents revenue leakage by ensuring billable changes are properly documented. 

Labor & Resource Reporting 

  • Monitors daily field reports, labor hours, and technician timecard data. 
  • Provides analysis on labor efficiency, forecast-to-complete, and crew performance trends. 
  • Flags mismatches between scheduled and actual resource usage. 

Forecasting & Variance Analysis 

  • Provides monthly cost-to-complete forecasting and earned value updates. 
  • Identifies gaps between estimated vs. actual performance. 
  • Supports decision-making with clear, concise reporting for operations leadership. 

Compliance & Audit Readiness 

  • Maintains organized project documentation for audits, inspections, or internal reviews. 
  • Ensures financial and procedural compliance with contract requirements and internal controls. 

Collaboration with Cross-Functional Teams 

  • Acts as a financial liaison between project managers, accounting, purchasing, and leadership. 
  • Communicates clearly to ensure data accuracy and alignment across departments.
