Job Title: PowerSchool Administrator/ State Reporting

Job Classification: Classified/Non-Instructional 

Reports to: Chief Information Officer  

Work Schedule: Calendar Year 

 

General Description: 


The PowerSchool Administrator / State Reporting role is responsible for managing the student information system (SIS) and ensuring the accuracy, integrity, and submission of all state-mandated data reports for the Career Academy Network of Public Schools. This position supports school operations by maintaining database functionality, troubleshooting system issues, training users, and coordinating timely reporting to the Indiana Department of Education (IDOE) and other agencies.


Qualifications: 

  • Associate’s or Bachelor’s degree in Information Systems, Education, or a related field preferred
  • Experience administering PowerSchool or another SIS platform required
  • Working knowledge of state education reporting requirements and data management systems
  • Strong analytical and problem-solving skills
  • Excellent communication and documentation abilities
  • Proficiency with spreadsheets, databases, and report generation

Primary Responsibilities: 

  • Collects data from the district and reports it to the State. 
  • Develops and maintains reports as needed from district databases. 
  • Develops standards for acquisition of student data meeting the standards set by state reporting. 
  • Coordinates data processing, and software usage as related to Student Information Systems and student rostering. 
  • Works with the CIO/Asst Superintendent to develop standards for training personnel in the use of State Reporting data and Student Information Systems and all aspects of student data. 
  • Oversees the Student Information System, PowerSchool. Including but not limited to student personal data, grades, etc. 
  • Develop, maintain, and monitor database access system tools related to Student Information Systems and student rostering. 
  • Oversees assigned key software programs student rostering related to PowerSchool. 
  • Develops professional development related to hardware and software related to Student Information Systems and student rostering. 
  • Issues and follows written and oral instructions and adjusts errors as needed. 
  • Supports staff and technology department on the Learning Management System (Canvas). 
  • Monitors and informs the CIO and Asst Superintendent of evolving technologies and their implications and costs. 
  • Assists the Technology Department with upgrades and troubleshooting as necessary. 
  • Primary Information Systems 
  • State Reporting: Report to the State and Federal Agencies data collections on a weekly, monthly, quarterly, or State determined time frame. 
  • Analyze Data Layouts, export data from Powerschool, analyze data, correct errors, submit data prior to the reporting window close date. 
  • PowerSchool: (student information system) system setup, maintenance, troubleshooting, updates, customizations, creating reports (admin offices, counselors, teachers), training and support, student fees, attendance, student photos, and scheduling. 
  • SchoolMint: (student information system) creating and maintaining full solutions each year, assisting with maintaining school registration processes. 
  • Canvas: (student learning management system) course population via PowerSchool sync, supporting and troubleshooting PowerSchool to Canvas issues, supporting the Technology Staff with implementation issues. 
  • SchoolMessenger: (mass calling/email system): mass calls, mass corporation emails, and assisting office staff. Acting as the backup to the technology staff in delivering alerts to the public. 
  • Standards for Success(teacher evaluation system): maintaining the system, assist teachers and administrators with issues, troubleshooting problems. 
  • Clever: (automatic roster system used between student information system and other programs) system setup to import from other systems, troubleshooting. 
  • Other: (student testing programs) including, not limited to , ILEARN, IREAD, ISTEP+, ISTEP+10, ECA, PSAT & NWEA. 

School Activities: 

  • Support enrollment, attendance, scheduling, and report card processes throughout the school year
  • Participate in administrative planning meetings and compliance reviews
  • Attend relevant IDOE webinars, trainings, and data coordination calls
  • Assist schools during testing windows by ensuring accurate student rosters and accommodations data

  • Strong troubleshooting and technical support capabilities

  • Commitment to accuracy, compliance, and service-oriented support
  • Must demonstrate foundational professionalism, including consistent attendance, punctuality, adherence to school policies and procedures, and strong employability skills. These are considered essential, non-negotiable expectations of the role.
