GENERAL RESPONSIBILITIES:
The Administrative Assistant supports the activities of Whitney Young Health (WYH) by performing clerical and administrative duties as assigned.
SPECIFIC RESPONSIBILITIES:
- Act as the first point of contact for visitors, creating a positive first impression of WYH and directing them to where they need to go.
- Develop correspondence and memorandums as required by supervisor or designee.
- Create and format documents.
- Schedule and set up meetings in Microsoft Outlook and Microsoft Teams.
- Learn and enter items into Yooz – a cloud-based e-invoicing and purchase-to-pay system.
- Attend organization-wide meetings as assigned.
- Operate standard office equipment (fax, copier, scanner, postage meter, etc.)
- Maintain standard business filing systems.
- Follow proper procedure for opening, sorting, and routing incoming mail and preparing outgoing mail.
- Navigate the telephone system as needed to fulfill job duties.
- Collaborate with other staff in accomplishing tasks or projects.
- Provide team coverage to other administrative assistants throughout WYH. Assists with a variety of administrative projects, as assigned.
- Ability to travel to all Whitney Young locations.
- Demonstrates excellence in both internal and external customer service.
- Understands and adheres to HIPAA compliance, corporate compliance, and client confidentiality.
- Ensures and/or remains in compliance with local, state, and federal regulation, i.e., DHHS HRSA and NYSDOH, and all accreditation standards (e.g., Joint Commission and NCQA-PCMH).
- Adheres to the National Patient Safety Goals as defined by the Joint Commission and Whitney M. Young Jr. Health Center.
- Completes other duties as assigned.
Requirements
MINIMUM QUALIFICATIONS:
High school graduate/GED plus two (2) years of general office experience. Proficient in MS Office Suite. Ability to work in a fast-paced environment, have a positive attitude. Excellent verbal and written communication skills. Must have reliable transportation. Professional demeanor and the ability to handle confidential information in an appropriate manner are essential.
PREFERRED QUALIFICATIONS:
Associates degree. Experience in an office setting, excellent telephone skills, and the ability to relate well with the public and other staff. Self-starter and able to work independently.

Salary range: $19.00 - $21.00 hourly
