JOB DESCRIPTION

 

POSITION:  High School Administrative Assistant – Data and Student Information Systems

 

JOB GOAL:  Provide administrative and technical support to the Arlington High School Principal and Deans by managing student information systems, organizing data and reporting tasks, and ensuring accurate and timely submission of school records and reports.

REQUIRED QUALIFICATIONS:

  1. Associate’s or Bachelor’s degree and/or relevant training or certification in office administration, data management, or related field preferred.

  2. Demonstrated experience with school-based software systems such as PowerSchool, Google Workspace, and Microsoft Office.

  3. Strong organizational skills with the ability to manage multiple tasks, meet deadlines, and maintain attention to detail.

  4. Proven ability to handle confidential information with discretion and professionalism.

  5. Effective communication and interpersonal skills to interact positively with students, staff, families, and external agencies.

  6. Ability to work independently, prioritize tasks, and adapt to a fast-paced environment.

  7. Familiarity with Massachusetts public school data reporting systems (e.g., SIMS, EPIMS) is a plus.

PERFORMANCE RESPONSIBILITIES:

  1. Manage and maintain student records in PowerSchool, ensuring accuracy and compliance with state and district requirements.

  2. Assist in the preparation and submission of local, state, and federal data reports including SIMS, EPIMS, and MCAS-related reporting.

  3. Support scheduling, enrollment, grading, and attendance data management in collaboration with the Principal, Deans, and School Counseling staff.

  4. Generate data reports for administrators, department heads, and counselors as needed for decision-making and student support.

  5. Provide technical support and training to school staff on the use of PowerSchool and other school data systems.

  6. Maintain documentation and tracking for discipline, attendance, and intervention systems.

  7. Coordinate and organize cumulative student files and digital recordkeeping practices.

  8. Support transcript preparation, report cards, and honor roll verification.

  9. Collaborate with other administrative assistants and staff to ensure consistent procedures across the school.

  10. Respond to internal and external data inquiries in a professional and timely manner.

  11. Assist with clerical tasks related to school operations and student services, as needed.

  12. Promote a positive work environment and support the goals of Arlington Public Schools.

  13. Perform other related tasks as assigned by the Principal or Deans.

TERMS OF EMPLOYMENT: 35 hours per week, 41 weeks per year
REPORTS TO: Principal and Deans
SALARY/BENEFITS: In accordance with AEA Unit C Contract
