Caldwell University invites applications for an Events Coordinator. Reporting to the Chief of Staff, the Events Coordinator will play a key role in supporting the planning, coordination, and execution of strategic events designed to enhance constituent engagement and advance the university’s philanthropic objectives. The Events Coordinator will also be responsible for rentals of University spaces by outside groups. Job duties include, but are not limited to:
Create a plan to maximize the use of on-campus facilities, especially the residence halls, for summer conferencing and events, including working with the marketing team to create a communications plan to promote opportunities to the community.
Lead and manage university events which vary in size and complexity, both on and off campus, including high profile events, from conception through execution, ensuring alignment with strategic objectives and outcomes.
Collaborate with campus partners to manage all aspects of event production, including timelines, event communications and marketing materials, checklists, venue selection, room layouts, catering, décor, rentals, audiovisual requirements, parking, transportation, and event giveaways
Develop staffing plans and coordinate volunteer support for events; manage travel and lodging logistics for special guests, honorees, and performers as needed.
Provide on-site event management, including evening and weekend responsibilities, to ensure successful execution.
Handle outside rentals on campus space. This includes, preparing the contract, booking the space (s), coordinating with facilities, security and food services when needed.
Bachelor’s degree required. At the university’s discretion, an equivalent combination of education and experience may be considered in lieu of the stated requirements, provided the candidate can demonstrate preparedness for success in the role. Minimum of three years of progressively responsible experience in planning and managing special events, preferably within a higher education environment. Must be willing and able to travel as needed, and work evenings and weekends in support of event programming.
