Provide the administrative support operations of an executive level position. Responsible for handling a wide range of administrative tasks and ensuring smooth operations.

Responsibilities

  • Provide administrative support to senior executives, including scheduling meetings, managing calendars, and coordinating travel arrangements.
  • Prepare, proofread, and edit correspondence, reports, presentations, and other documents.
  • Handle and prioritize incoming communications (emails, phone calls, mail), ensuring timely responses or delegations as appropriate.
  • Manage complex calendars and appointment scheduling for executives, ensuring meetings are efficiently planned and conflicts are minimized.
  • Coordinate internal and external meetings, including logistics, materials, and room reservations.
  • Act as a liaison between executives, employees, clients, and external stakeholders.
  • Support ongoing projects by coordinating logistics, research, and document preparation.
  • Follow up on action items, deadlines, and deliverables to ensure projects are on track.
  • Assist with organizing company events, conferences, and team-building activities.
  • Supports the general office environment as directed.
  • May manage office equipment and other vendors and deal with building/office management issues.
  • May lead and/or guide the work of other employees.
  • Works primarily in a climate-controlled office setting.
  • Performs other job-related duties as assigned.

Qualifications

  • Associate’s degree in business, or other related field and at least seven (7) years of previous administrative experience, or an equivalent combination of education and experience.
  • Proven experience as an Executive Assistant or Administrative Assistant supporting C-suite or senior executives.
  • Experience with project management tools and software.
  • Must be proficient with Microsoft Office products and the ability to learn other enterprise systems.
  • Demonstrated ability to handle confidential and sensitive information.
  • Demonstrated strong attention to details, planning and excellent organizational awareness skills.
