Provide the administrative support operations of an executive level position. Responsible for handling a wide range of administrative tasks and ensuring smooth operations.
Responsibilities
- Provide administrative support to senior executives, including scheduling meetings, managing calendars, and coordinating travel arrangements.
- Prepare, proofread, and edit correspondence, reports, presentations, and other documents.
- Handle and prioritize incoming communications (emails, phone calls, mail), ensuring timely responses or delegations as appropriate.
- Manage complex calendars and appointment scheduling for executives, ensuring meetings are efficiently planned and conflicts are minimized.
- Coordinate internal and external meetings, including logistics, materials, and room reservations.
- Act as a liaison between executives, employees, clients, and external stakeholders.
- Support ongoing projects by coordinating logistics, research, and document preparation.
- Follow up on action items, deadlines, and deliverables to ensure projects are on track.
- Assist with organizing company events, conferences, and team-building activities.
- Supports the general office environment as directed.
- May manage office equipment and other vendors and deal with building/office management issues.
- May lead and/or guide the work of other employees.
- Works primarily in a climate-controlled office setting.
- Performs other job-related duties as assigned.
Qualifications
- Associate’s degree in business, or other related field and at least seven (7) years of previous administrative experience, or an equivalent combination of education and experience.
- Proven experience as an Executive Assistant or Administrative Assistant supporting C-suite or senior executives.
- Experience with project management tools and software.
- Must be proficient with Microsoft Office products and the ability to learn other enterprise systems.
- Demonstrated ability to handle confidential and sensitive information.
- Demonstrated strong attention to details, planning and excellent organizational awareness skills.
