The Opportunity
In order to deliver on DC Prep’s mission and commitment to students and families, the PrepNext team provides holistic support to graduates of DC Prep as they pursue success in high school and higher education. Beginning in students’ 8th grade year, PrepNext works with students and families to support a strong transition to 9th grade; continued academic and personal success through high school; and robust college and career exploration and access. PrepNext’s post-secondary team then continues to support students’ success through college. We are successful if our students build the knowledge, skills, and confidence to lead self-sufficient, choice-filled lives. Achieving this goal requires an incredible team, and we need a dynamic Associate Director of Alumni Data and Strategy with a wide set of skills and passions to support our team as we evolve as a program.
The Associate Director manages all team data procedures and systems, including the PrepNext CRM, Salesforce. The Associate Director plays an instrumental role in building and implementing key systems for obtaining data about student status throughout our students’ 10 year journey with us, and regularly analyzing data to inform DC Prep and PrepNext programming and strategy. The Associate Director will collaborate closely with the Director and PrepNext team and think creatively about tracking and analyzing key data to assess overall effectiveness and strengthen impact and reach of direct services.
The Associate Director of Alumni Data and Strategy is a full-time, 12-month position and will report to the Director of PrepNext. The PrepNext team has a hybrid work schedule that will require weekly in-person time in one of our DC-based schools. Occasional night and weekend hours may be required as needed for team or network-wide events. This will be an exempt position, not eligible for overtime. This position has no supervisory responsibilities.
Core responsibilities include:
- Manage Data Systems (30%) - Maintenance and upkeep of Salesforce and Signal Vine platforms such that they are a seamless experience for program teams that supports student impact
- Revising and refining all aspects of the platform in response to programmatic needs and to improve counselor impact (for example, update records and reports to reflect updates to information logged and tracked to support student interventions)
- Uploading data imports containing essential student information
- Designing, creating, and revising team reports, and data dashboards, and data reporting solutions to track team progress toward goals
- Conducting summer data rollover to capture year end data and prepare systems for the new school year
- Consistent monitoring of data and information to ensure data fidelity
- Troubleshooting technical issues in collaboration with SalesForce support and team members, as needed
- Staying current with all Salesforce updates to recommend and implement changes or additions to platform as needed
- Annual upload of 8th grade family contact information
- Ensuring all contacts remain up-to-date and data is transferred to SalesForce
- Troubleshooting technical issues, as needed
- Refining and scheduling team text campaigns
- Manage PrepNext’s Salesforce platform, including through:
- Manage the team’s mass text platform, Signal Vine, including through:
- Establish and document the policies, practices, protocols, and systems to ensure consistent and accurate data practices across the PrepNext team
- Ensure student profiles, account profiles, contact information, etc, are up to date and accurate through quarterly audits
- Strong Analysis of Data (25%) to drive work of Program Teams and Impact of PrepNext - Data analysis and meeting facilitation to dive into the data to help us deeply understand the drivers of our impact, especially against the hypotheses of our Strategic Plan, and inform how counselors focus their work so that we can make our work even more effective
- At the direction of the Director, analyze student, local, and national data and prepare materials to communicate the impact, successes, and challenges to internal and external stakeholders through presentations, memos, and reports, including:
- Provide ongoing analysis of the impact and reach of PrepNext team services, including through synthesis of sociodemographic and academic characteristics, as well as recommendations for improvement based on analysis. Analysis is meant to inform both PrepNext programming and broader DC Prep PK-8th grade programming based on what we learn about the alumni experience.
- Maintain and present current research on relevant educational data at the local and national levels to inform and contextualize PrepNext’s delivery of direct services; for example, share data on high school trends in DC or on national college enrollment rates at quarterly Data Days.
- Plan and lead professional development and training opportunities for the PrepNext team focused on tracking, using, and analyzing data
- Conduct student outreach (35%) - Facilitate identification of where 100% of our alumni are through data exchanges and targeted outreach at unengaged alumni and families
- Partner with ~90 high schools and institutional partners across the DC region to facilitate exchange of key data
- Lead the logistics for key interventions aimed at gathering data about all students and families, including through: the PrepNext book scholarship and Persistence Fund; leveraging data from the National Student Clearinghouse; and implementing student and family surveys
- Conduct outreach twice a year to alumni who are not eligible for PrepNext services (Career students, alumni beyond 10 years) to maintain current contact and career information.
- Coordinate alumni engagement on campuses for key events
- Stay up to date on best practices and trends (10%) as they relate to data, outreach, and education, sharing insights regularly with Director and program team ADs
- Identify and attend professional development opportunities aligned with the field
- Research and consult educational trends related to field through readings, listserv subscriptions, resource exchange with partners
- Share insights quarterly at Data Days
ESSENTIAL FUNCTIONS
- Report in person to any of DC Prep’s physical campuses, as needed.
- Additional responsibilities may arise during the school year. This could include: promoting DC Prep at on or offsite events, providing classroom support at critical times of the year, or supporting school operations at a DC Prep campus, as needed.
- This list is not exhaustive. DC Prep will communicate mandatory events outside of school hours with ample notice.
Physical Requirements
The physical demands and environmental conditions described below are representative, but not exhaustive, of those that must be met by an employee to successfully perform the essential functions of the role. All of these physical requirements must be able to be performed with clarity, coherence and connectedness to DC Prep’s vision. - Must be able to sit and work at a desk/computer for extended periods of time
- Must be able to spend the majority of the day standing or mobile throughout the classroom, as well as talk, hear, grasp, reach and lift up to 30lbs with or without accommodations
- Ability to concentrate in active and noisy environments such as cafeterias, gymnasiums, stairs and playgrounds, classrooms and large group professional settings
- Must be able to walk, stand and monitor crowded hallways, gymnasiums, cafeterias, stairs and playgrounds.
- Must be able to climb stairs throughout the day and escort students to and from class
- Must be able to have repetitive wrist/hand/finger movement to work on computer and/or related office equipment
- Ability to handle potential high stress conditions
