This entry-level Accounting Administrator provides support to the Accounting department with various administrative functions and special projects.  The Accounting Administrator provides excellent customer service to internal and external customers and provides clerical and administrative support to the Accounting Department.  This position requires a detail-oriented, discreet and organized individual. The Accounting Administrator must perform to the legal and ethical standards required by Federal, State and Local law and Moody Insurance Agency, Inc. policies.

The first 6 months will require in-office work Monday-Friday 7.5 hrs per day, flexible hours between 7am and 5pm. A hybrid schedule may be available after 6 months.

Job Functions: Following is a brief outline of essential tasks for the Accounting Administrator position, but other responsibilities and duties may be assigned:

  • Provide customer service to internal and external clients (answering questions, etc.) 
  • Generate commission statements as received from companies and enter into accounting system weekly.
  • Reconcile to company statements on a monthly basis.
  • Complete scheduled manual invoices on a monthly basis.
  • Reconcile and process agency commission, investigating any discrepancies.
  • Index & assign accounting mail daily.
  • Generate, process and maintain finance agreements.
  • Print invoices daily and distribute to appropriate Account Managers.
  • Assist with processing and mailing of month-end statements.
  • Assist with scanning, maintenance and destruction of accounting department files.
  • Maintain company non-resident licenses on a monthly basis.
  • Assist in processing accounts payable items on a weekly basis.
  • Process receivable items & prepare a daily deposit.
  • Complete Continuing Education classes as requested by Management. 
  • Other duties as assigned


Requirements

Minimum Qualifications and Requirements:

  • Able to read and write in English
    High School diploma or equivalent. College degree (or equivalent job experience) in accounting, finance or other related field preferred, but not required.
  • Previous administrative experience in Accounting or related field preferred.
  • Must possess proficient computer skills including working knowledge of Microsoft Office products, especially Excel and Word.Previous experience with Agency Management System (AMS 360 or similar) strongly desired.
  • Able to apply mathematical/accounting concepts to daily work.
  • Able to maintain absolute confidentiality
  • Excellent written and verbal communication skills
  • Strong customer service and team skills; must interact effectively with clients, co-workers and management
  • Strong attention to detail and solid organizational skills
  • Solid prioritization skills, sense of urgency, and ability to work efficiently under time constraints
  • Ability to analyze and solve problems
