The Georgia Department of Community Health (DCH) is one of Georgia's four health agencies serving the state's growing population of over 10 million people. DCH serves as the lead agency for Medicaid, oversees the State Health Benefit Plan (SHBP) and Healthcare Facility Regulation, impacting one in four Georgians.

The Department of Community Health is seeking qualified candidates for the position of Administrative Assistant 2, Operations Unit with the Healthcare Facility Regulation Division (HFRD). This is a hybrid position that requires in-office and remote work with the approval of the supervisor. The days and frequency in the office can change at any time during employment based on the business needs of the organization. This is a full-time, unclassified position categorized under the Fair Labor Standards Act (FLSA) as non-exempt.  

Position Duties

Under general supervision, the Administrative Assistant 2 position will support the Business Operations Supervisor and coordinate administrative functions for the operations team and HFRD programs. This role requires exceptional organizational skills and attention to detail, with a high level of communication skills. The administrative assistant will also act as the point of contact for all internal and external customers. Additionally, this position:

  • Greets internal/external customers, determining the nature of the guest visit, as well as answering, screening and directing calls on a multi-line phone system.
  • Manages and distributes incoming/outgoing mail and packages for shipment, including lifting boxes up to 20 lbs.
  • Orders division office and personal protection equipment (PPE) and maintains inventory of those supplies.
  • Monitors all purchase order requests for the operations team, addresses and/or alerts leadership of any concerns/discrepancies and provides data reports upon request.
  • Assists with developing, implementing, and updating unit operating procedures.
  • Assists with coordination of seasonal projects (annual conference, onboarding, training, job/career fairs)
  • Performs other duties assigned by the Business Operations Supervisor.

Minimum Qualifications

High school diploma/GED and three (3) years of job-related experience; or one (1) year of experience required at the lower-level Admin Assistant 1 (GST050) or position equivalent.

Note: An equivalent combination of knowledge, education, job or intern experience, training, or certifications that provides the necessary knowledge and skills to successfully perform the job at the level listed may be substituted year-over-year.

Preferred Qualifications: Preference will be given to candidates who have a background and, in addition to meeting the qualifications listed above, possess the following:
  • Experience utilizing PeopleSoft Financials and Team Georgia Marketplace.
  • Working knowledge of TeamWorks Financials, including related procedures and business processes.
  • Proven ability to communicate effectively with a wide range of stakeholders, including internal teams and external executive-level professionals.
  • Strong attention to detail with a commitment to accuracy.
  • Demonstrated ability to make independent, informed decisions.
  • Excellent verbal and written communication skills.
