Medical Records / Central Supply - Full Time
River View on the Appomattox is proudly Virginia owned and operated! We have opportunities for dynamic Licensed Practical Nurses (LPNs) to join our team of compassionate caregivers.
JOB SUMMARY:
Maintains medical records in orderly fashion in compliance with federal, state and local guidance and in
accordance with Center policies. Ensures that patient/resident health information is protected and not
disclosed unless by permission or with established policies and procedures. Maintains an adequate
supply of medical equipment and supplies to ensure patient/resident needs are met. Maintains a good
working relationship with other departments, physicians, residents, families and visitors.
ESSENTIAL FUNCTIONS:
1. Maintains medical records in accordance with federal, state and local requirements, and center
policy.
2. Scans documents from nursing stations into appropriate scan folder on the server in a timely
manner.
3. Scans and uploads hard copy documents into appropriate patient/resident medical record in the
EHR in a timely manner, reviewing for completeness, legibility, and accuracy.
4. Uploads documents into the EHR using the approved naming convention, correct category,
name, and effective date to the appropriate patient/resident chart.
5. Review of patient discharge summaries to ensure completion in 30 days.
6. Works with physicians to obtain needed signatures and chart documents.
7. Processes requests for medical records in accordance with Center policy.
8. Maintains center HIPAA Disclosure log.
9. Maintains the physician certification and recertification tracking system to assure State and
Federal regulations are met.
10. Submits vital statistics report of deaths in the center to the VDH monthly.
11. Maintain signature log for providers and update at least annually or upon request.
12. Maintains adequate inventory of medical supplies and equipment.
13. Unloads, stocks, and organizes medical supplies when delivered to the Center.
14. Maintains the inventory of Center-owned and rented equipment.
15. Evaluates EHR for medical supply billing purposes.
16. Maintains working relationship with third party vendors.
17. Works with DON and other department managers to adhere to budgets and supply formulary.
18. Maintain up to date spend down sheets.
19. Ensure proper submission of supply orders to allow for timely delivery.
20. Attend meeting as required by Center leadership.
21. Performs other duties as assigned by DON.
QUALIFICATIONS:
1. High School diploma or equivalent.
2. Combination of education and experience in maintaining filing and recordkeeping systems,
preferably in a medical setting.
3. Minimum two years of supply, ordering, and inventory control experience in a medical setting.
4. Proficient in MS Word, Excel, and Outlook.
PHYSICAL REQUIREMENTS:
Extended standing, walking, pushing and pulling of carts, carrying equipment.
Must be able to lift 50lbs safely.
