POSITION OVERVIEW
The Payroll/Accounts Receivable (AR) Specialist plays a critical role in ensuring the financial stability and operational efficiency of the company. This position is responsible for the accurate and timely processing of biweekly payroll for all employees, including management of 401K contributions, tax deductions, and payroll reporting. The role ensures compliance with all payroll-related legal requirements and internal policies while providing support for audits and maintaining payroll-related documentation.
On the AR side, the Specialist ensures timely generation of customer invoices, accurate recording of cash receipts, and effective reconciliation of customer accounts. The role is instrumental in maintaining healthy cash flow through diligent aging reviews and proactive customer follow-up. This position requires a high degree of accuracy, attention to detail, and collaboration with internal departments such as Sales Support and HR to support seamless financial operations and superior customer service. Proficiency with Microsoft Excel, SAP, and payroll systems like Paylocity is essential for success in this role.
DAILY RESPONSIBILTIES
Payroll
- Process and track payroll changes for upcoming pay dates (e.g., PTO payouts, 401k deferral adjustments, new hires, terminations).
- Monitor and manage payroll-related email inboxes
Accounts Receivable (AR)
- Generate and transmit customer invoices for daily activities
- Log cash receipts in SAP based on bank deposits
- Generate associated credit memos, gather backup, and send to Sales Support
- Monitor and manage AR-related email inboxes
WEEKLY RESPONSIBILITES
Payroll
- Upload 401k contributions to the plan website (biweekly)
- Process biweekly payroll, including timecard hours, bonuses, commissions, and miscellaneous payments
- Process payroll journal entries and payroll accruals in SAP
Accounts Receivable (AR)
- Review AR aging and follow up on past due invoices
- Review customer credit limits and initiate increase requests if necessary
MONTHLY RESPONSIBILTIES
Payroll
- Reconcile payroll accounts with the general ledger
- Maintain and process monthly sick and vacation accruals
- Save 941 quarterly tax deposit files from Paylocity
- Generate payroll reports
- Support monthly audits (401k, workers’ comp, unemployment)
Accounts Receivable
- Prepare and send customer and intercompany statements
- Reconcile AR aging with the general ledger
- Assist with reconciliation of cash receipts to bank statements
- Calculate and process broker commission payouts
- Submit sales declarations to AR insurance provider
- Provide support for AR-related audits
- Supply customers with requested invoice backup
QUARTERLY/ANNUAL RESPONSIBILITIES
Payroll
- Verify accuracy of W-2 reporting; coordinate W-2 mailings and handle corrections
- Maintain and process year-end PTO carryovers and balance adjustments
- Submit garnishments to payroll provider
- Handle payroll check corrections and replacements
- Ensure accurate processing of multi-state payroll tax deductions
- Create and maintain payroll calendar
- Support annual audit
Accounts Receivable
- Support annual audits
- File CA and GA excise taxes
GENERAL RESPONSIBILTIES
- Review, update, and create SOPs for all assigned tasks
- Attend cross-department meetings between Accounting and Sales Support
- Supports additional accounting functions as assigned
QUALIFICATION REQUIREMENTS
- Associates Degree in Accounting or a related field
- Minimum three years of payroll and AR experience
- Experience with Microsoft Office suite, with proficiency in Excel
- Experience with ERP/SAP preferred
- Detail-oriented with strong time management and prioritization skills
- Excellent written and verbal communication skills
- Regular, consistent and punctual attendance expected
WORKING CONDITIONS
- Primarily office-based role; overtime and weekend work may be required
- May sit or stand for long periods
- Must follow safety policies and procedures
- Occasionally lift/carry items up to 40 lbs.
