Position Summary
The ideal candidate will be a hard-working professional, able to undertake a variety of office support tasks and entry level Accounts Payable tasks working diligently in a fast-paced environment. This person will be comfortable working with a high degree of attention to detail and discretion.
Duties and Responsibilities
• Copies, scans and stores important documents and records.
• Receives and verifies invoices and requisitions for goods and services.
• Prepares batches of invoices for data entry.
• Enters Data invoices for payment.
• Prepares vendor checks for mailing.
• Maintains updated vendor files and file numbers.
• Assisting co-workers as needed
• Assist with Accounts Receivable
• Check email daily and respond in a timely manner
• Greet office visitors
• Filing as needed
• Answering all phone calls in a professional manner
Requirements
Qualifications
• High school diploma or equivalent: some accounting or finance coursework preferred.
• Some knowledge in Accounts Payable and Accounts Receivable
• Proven experience as a back-office assistant, office assistant, virtual assistant or in another relevant administrative role
• Good organizational and time management skills
• Strong analytical and problem-solving skills
• Excellent written and verbal communication skills
• Proficiency in MS Office, including Outlook, Word, Excel
• Ability to work well as a team player or independently
• Knowledge of “back-office” computer systems (ERP software)
• Working knowledge of office equipment
Physical Working Conditions
• Ability to move up to 50 pounds
• Ability to bend, stoop, stand and twist
Work Hours
• 40 hours per week
• Monday through Friday, 8 am to 5 pm or 7 am to 4 pm
