As an Operations Assistant, you will play a key role in executing routine tasks, assisting with project coordination, supporting logistics processes, maintaining records, and ensuring timely communication across departments. What you'll do


Customer Support & Ticketing Assistance

  • Support the management of the ticketing system (Zendesk) by updating records and assisting with ticket assignments.
  • Collaborate with customer service and tech support teams to ensure accurate information is communicated.
  • Help monitor and compile data for department performance reports.

Logistics & Product Coordination

  • Assist with product transfers between domestic warehouses and monitor shipment statuses.
  • Support documentation and scheduling of international container shipments.
  • Maintain inventory tracking via ERP systems and communicate low-stock alerts.

Administrative & Project Support

  • Provide administrative support for cross-functional operations projects.
  • Help coordinate internal meetings, take notes, and follow up on action items.
  • Maintain department documentation, templates, and process guides.

ERP & Dashboard Maintenance

  • Input data into ERP systems to ensure records are current and accurate.
  • Assist in generating and updating dashboards for CS, Tech Support, and Marketing using tools such as Excel or Tableau.
  • Run and format reports for internal teams on a weekly or monthly basis.

Warehouse Operations Support

  • Assist with demo room scheduling, affiliate shipments, and coordination with marketing.
  • Provide basic support in handling fulfillment processes, particularly for special projects or key partners.

Qualifications


Required:

  • 1–2 years of administrative, operations, or logistics support experience.
  • Proficiency in Microsoft Office and Google Workspace.
  • Strong organizational skills with attention to detail.
  • Ability to manage multiple tasks and adapt to shifting priorities.
  • Excellent communication and collaboration skills.

Preferred:

  • Familiarity with e-commerce, consumer products, or logistics environments.
  • Being bilingual in Mandarin is a plus.

Working Conditions:

  • Regular office hours with occasional flexibility to support shipping deadlines or projects.
  • Prolonged periods of sitting and computer use; occasional lifting of packages or sample products.
