We are seeking a detail-oriented and highly organized Flavors Administrative Assistant in the Teterboro, NJ facility to support the Plant Manager/Director of Manufacturing.
Job Summary:
Reports to Director of Manufacturing/Plant Manager. Performs administrative and office support activities for multiple supervisors. Duties include fielding telephone calls, receiving and directing visitors, word processing, creating spreadsheets and presentations, scanning, filing, and faxing. Extensive software skills are required, as well as Internet research abilities and strong communication skills. Provides office services by implementing administrative systems, procedures, policies, reports and presentations.
Essential Job Functions:
· Manages visitors to the facility by greeting, informing, directing and insuring they are signed in appropriately. Notifies company personnel of visitor’s arrival. Develops reception area guidelines and protocol. Manages site personnel listing and maintains site visitor/contractor log and form.
· Responsibilities include screening calls, monitoring security cameras, managing calendars, making travel, meeting and event arrangements, preparing reports and financial data, and customer relations. Sort and hand out new wins from Corporate.
· Resolves administrative problems by coordinating preparation of reports and proposals, analyzing data, and identifying solutions.
· Receives, reviews and scans production batch sheets for archiving purposes.
· Ensures operation of copiers by completing required forms, calling for service repairs, and maintaining equipment supply inventories.
· Manages postal and interoffice mail and packages for distribution at site.
· Manages the uniform service and audits the weekly invoice prior to submitting to the Plant Manager for approval.
· Orders MRO, food, and stationary supplies for the site. Maintains supplies inventory by checking stock to determine inventory level, anticipating needed supplies, placing and expediting orders for supplies, verifying receipt of supplies.
· Assists Director of Manufacturing/Plant Manager with monthly Operations data reporting for Inventory, Production Statistics, Lead Time, etc. Runs SAP reports, consolidates & collates data. Assists other Department Managers with data analysis and reporting when possible. Completes other operational requirements by scheduling and assigning administrative projects.
· Collaborate internally with Building Services and Facilities to ensure smooth operations in work areas, divisional team to arrange Fellows visits.
· Maintains professional and technical knowledge by attending educational workshops, reviewing professional publications, establishing personal networks, participating in professional societies.
· Handles other administrative functions as assigned by the Plant Manager.
· Responsible to check equipment and tools prior to usage. If obvious damage/malfunction is noticed or if unsure about operability, report immediately. Do not operate until it is safe to do so.
· Responsible to report hazardous situations and EHS concerns, so that action can be taken.
· Responsible to consistently apply EHS considerations to protect health and safety of oneself and others’ and prevent adverse effects to environment.
· Responsible to follow compliance and other obligations, while understanding the consequences of not following them.
Educational Qualifications: Associate degree. Courses in accounting a plus.
Experience: 3-5 year of experience in administrative role. Equivalent combination of education and experience is acceptable. Requires strong computer skills. Some project coordination experience
Competencies: Candidate must be able to clearly speak, read and write English. Must be detail oriented and good with figures and Microsoft Office programs. Reporting, administrative writing, Microsoft Office, managing processes, organization, analyzing information, professionalism, problem solving, supply management and inventory control, and verbal communication. Ability to work well with all levels of internal management and staff as well as outside clients and vendors.
Physical Demands: Must be physically able to operate a variety of automated office machines which includes a computer, printer, facsimile machine, copy machine, calculator, telephone, etc. Must be able to work, move or carry objects or materials. Intermittent physical activity, including bending, reaching and prolonged periods of sitting. Physical demand requirements are at levels of those for sedentary office work.
Work Environment: The work environment characteristics described here are representative of those an employee encounters while performing the essential functions of this job. The employee occasionally works near moving mechanical parts, precarious places and is occasionally exposed to risk of electrical shock. The noise level in the work environment is usually moderate to loud. Odors associated with flavor compounds sometimes prevalent.
