Position: Senior Executive Assistant (Office of the President)

Reports To: Chief of Staff & Director, Executive Operations

Department: Executive Office

Role Overview: The Senior Executive Assistant is responsible for maintaining and optimizing the productivity of the President and CEO, including scheduling meetings, travel and appearances, as well as personal appointments as necessary. They will report to the Chief of Staff and Director Executive Operations and rely on close, effective collaboration with the CEO to execute their responsibilities. This role ensures that the CEO’s time is aligned with institutional priorities and operates with precision, discretion, and reliability.

Key Responsibilities:

  • Maintain the President’s schedule of commitments and appointments through meticulous calendar management, including fulfilling meeting requests, resolving schedule conflicts, prioritizing appointments based on urgency and importance, and ensuring allocation of the President’s time and pace to support productivity and strategic value. 
  • Proactively communicate with Executive Office staff regarding the President’s calendar to support planning and collaboration when necessary.
  • Keep track of repeat events, as well as organizational and Executive Office operations, and factor into calendar management.
  • Coordinate and confirm all aspects of internal and external meetings, including meeting space and set-up needs, agenda prep, briefings, catering, and technical specifications.
  • Prepare travel arrangements for the President and Executive Office staff as requested, applying familiarity with reasonable travel preferences, including transportation, accommodations, transfers, and itinerary planning.
  • Prepare and submit expense reports.
  • Field internal and external requests for the President and for the Chief of Staff, as needed.
  • Manage routine correspondence on behalf of the President and for the Chief of Staff, as directed.
  • Prepare and review with President/Chief of Staff daily, weekly or monthly calendar briefings.
  • Handle sensitive, personal, and confidential information with utmost discretion and professionalism.

Qualifications:

Education:

  • High school diploma and 3–5 years supporting a C-suite executive required.
  • Bachelor’s degree preferred or equivalent combination of education and experience.

Experience & Skills:

  • Established track record of success within a fast-paced executive office and able to seamlessly change course when required.
  • Expert-level calendar management across multiple platforms.
  • Strong customer service skills and the ability to learn, anticipate, and make sound judgments about the President’s priorities and needs.
  • Strong travel planning skills with attention to detail and last-minute changes.
  • Experience managing executive expense reports and travel documentation.
  • Excellent interpersonal and written communication skills.
  • High-level emotional intelligence, with proven ability to set boundaries, manage priorities, and build trusted relationships in support of executive leadership.
  • Ability to work evenings or extended hours, as needed.
  • Collaborative, flexible, and discreet with access to confidential information.
  • Ability to work effectively within a team environment and handle various personality types and working styles.
  • Offer creative solutions to problems that are timely, cost-effective, and support the needs of the President’s agenda and direction.
  • Can juggle several urgent priorities at once while keeping your eye on big-picture goals.
  • Eager to use business and administrative support skills to facilitate the work of leadership and change.
  • Interest in arts, culture, or nonprofit mission-driven organizations is a plus.
