Salary Range:    $18.50 - $21.00 Hourly

About The Role

We are seeking a Facilities Service Specialist who is detail-oriented and dependable. In this role, you will support the day-to-day operations of our mailroom, facilities, and records management functions that support the Credit Union. From sorting and distributing mail to scanning important documents, you'll play a key part in keeping our offices organized and efficient. You'll also assist with ordering supplies, coordinating vendor services, and ensuring our facilities are clean, safe, and well-maintained.

This is an onsite position based out of our corporate office in Ventura, CA. Hours are Monday - Friday, 12:00 PM to 5:00 PM. Occasional after-hours support and/or travel to branch locations may be required.

 

What You’ll Do

  • Sort, file, copy, and input data as needed for recordkeeping and correspondence.
  • Handle incoming mail and packages (e.g., UPS, FedEx) and distribute to appropriate departments.
  • Provide occasional courier service between local branches or offices.
  • Maintain the organization of filing systems and storage areas.
  • Order and distribute office supplies for branches and departments.
  • Place and follow up on service calls for equipment or facility repairs.
  • Assist with general upkeep and appearance of Credit Union facilities.
  • Monitor key inventory and support key administration.
  • Operate imaging system to scan and process documents; ensure image quality and proper indexing.
  • Maintain detailed records of stored files, destroyed files, and document retention timelines.
  • Assist in writing and maintaining clear procedures for all assigned tasks.
  • Stay current on federal/state record retention regulations and update internal teams accordingly.

 

What We’re Seeking

  • 6+ months of related experience and/or training in an administrative or supportive role demonstrating attention to detail and organization skills.
  • Must be able to operate all basic office equipment, including Microsoft Office programs.
  • Ability to lift/move boxes or supplies as required.
  • High School Diploma/GED required.
