We are recruiting for a Projects Operations Coordinator to join our growing team. This role can be based from either our Sacramento or San Jose branch. The Projects Operations Coordinator is responsible for organizing, scheduling, and ensuring that specific tasks or projects are executed smoothly and efficiently within the Projects Department.

Essential Duties &Responsibilities: 

  • Monitor DTS email group, responding and taking action as appropriate 
  • Manage DTS Ship tickets, creating Gens and changing shipping instructions as needed. 
  • Track and follow up on DTS Returns and Damaged Material.  Track returns to ensure they are picked up and sent out. 
  • Monitor DTSQ daily, take necessary action as needed. 
  • Monitor DTS invoice preview queue to monitor DTS Ship tickets. Follow up with writer/warehouse on any invoices in question. 
  • Review Awarded/Completed Jobs to ensure jobs are running per SOP. Bring repeat inconsistencies to the manager’s attention. 
  • Monitor Power Automate Flow by adding/removing project managers and reviewing any flow errors.
  • Run Reports as needed (On Hand, Ship Ticket, DTSQ Review), take action as needed. 
  • Identify areas for process improvement and communicate to manager. 
  • Document, design and maintain SOPs/How-To Guides/”Did You Know” 
  • Provide ongoing training/support for DTS/JM/Solar. 
  • Occasional travel to branches supported

Education & Experience: High School Diploma or equivalent.

Skills: 

Computer Skills: Working experience with general proficiency with Microsoft Excel, Word, Outlook, and Adobe Acrobat.  Experience with SharePoint and Eclipse/JM a plus. 

Language Skills: Ability to read and interpret documents and writes routine correspondence. Ability to speak effectively with customers/vendors or other employees. 

Mathematical Skills: Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent. 

Reasoning Ability: Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situation

Certificates & Licenses: CA Driver License
