About the Department
Loyola University’s music and theater programs have served as the face, identity, and creative heart of our campus for more than 100 years. This role monitors the budget for Loyola’s School of Music & Theatre Professions (SMTP) and serves as administrative support for programs (17 in total) under the school umbrella. This position is a direct report to the School of Music & Theatre Professions’ director and serves the faculty, students, staff, and extended Loyola community. The position works closely across campus offices to ensure efficient and timely processing of purchases and payments to students, faculty, and outside vendors hired for the school’s events and initiatives throughout the academic year.

Position Duties
PROCUREMENT, PAYMENT, AND BUDGET TRACKING
- Process procurement and staff payments including invoice processing, expense records maintenance, and procurement of office supplies and/or instructional materials.
- Track budgets for all areas with clear reporting to area coordinators and school director.
COMMUNICATIONS
- Coordinate departmental communications by managing emails, drafting correspondence in collaboration with SMTP director, and maintaining contact with faculty, staff, students, and external partners.
- Manage calendars and schedules for department leadership, including arranging meetings, reserving rooms, and coordinating logistics for events or guest speakers.
OFFICE PROCESS AND GENERAL ADMINISTRATIVE SUPORT
- Maintain departmental records and databases, ensuring accurate data entry, secure storage of files across all school-centric GSuite drives, and retrieval of institutional information when needed.
- Student worker hiring and oversight for all areas within the school as well as SMTP office and box office student employees.
- Meeting agenda assistance and note taking / uploads to Faculty Drive.
- Work Collaboratively with SMTP director and Events Coordinator to develop and maintain efficient office processes, as well as maintain partnerships with College of Music & Media Dean, Dean’s office staff, and School of Communication & Design director and staff.
- Other duties as assigned.
Minimum Qualifications
- Minimum bachelor’s degree required. Preferred bachelor's degree in business administration, accounting, organizational management, or other related field.
- Minimum 3 years of experience demonstrable track record of budget management, administrative/clerical support and experience working in a professional office environment with superior levels of customer service.
- Experience in sourcing, negotiating, and coordinating with vendors, sponsors, and key stakeholders.
- Ability to manage timelines, budgets, and multiple projects simultaneously.
- Ability to take initiative, work independently, understand and navigate university culture successfully, and has a strong aptitude for handling unexpected challenges or emergencies with professionalism.
- Exceptional organizational and detail precision skills.
- Effective written and verbal communication skills.
- Ability to remain flexible and pivot when needed while maintaining collegiality and composure with students, staff, faculty, and campus / community partners and promptness in deadlines and responses.
- Basic understanding of careers in the creative arts across all musical genres, theatre, and professional tracks.
