Position Summary:

The Administrative Assistant will support the Promoting Post-baccalaureate Opportunities for Hispanic Americans grant by handling administrative tasks, scheduling and organizing meetings, helping with preparation of new program applications, and taking minutes of advisory board meetings. This position will assist the Executive Director and Chair in record-keeping, project implementation, budget monitoring, and work with all levels of personnel and student cohort contacts.


Note: Grant-funded position through September 30, 2029.

Responsibilities:

  • Work collaboratively with the Chair and Executive Director to maximize productivity
  • Prepare assessment, accreditation, and program application documents
  • Coordinate efforts within the team and with outside consultants efficiently
  • Communicate with internal and external constituents/stakeholders.
  • Provide technical and administrative assistance and perform data management functions
  • Maintain digital and hard-copy records
  • Set up and provide support for meetings
  • Organize and monitor schedules and see that deadlines are met



Requirements

Minimum qualifications for the position:

· Bachelor’s degree or 3-5 years work experience in an office setting

· At least one year of experience working with student populations, preferably in a high school or community college setting

· Strong verbal and written communication skills

· Ability to work in a team, as well as being self-motivated

· Skilled in using Microsoft applications, such as Word, Excel, and PowerPoint


Preferred Qualification:

· Bilingual Spanish/English highly desired
