Position Summary:
The Contract Administrator is responsible for overseeing the lifecycle of company contracts and ensuring appropriate insurance coverage is maintained across all operations. This role will support internal stakeholders by reviewing, managing, and tracking vendor agreements, service contracts, and insurance certificates, while ensuring compliance with company policies, legal standards, and risk management strategies. This role is essential to support organizational goals and model best practices, guided by our values of Excellence, Accountability, Transparency, and Stewardship (EATS).
Key Responsibilities:
· Review, track, and maintain all incoming and outgoing contracts, including vendor agreements, service agreements, NDAs, and amendments.
· Coordinate with internal departments to ensure contract terms align with operational and compliance needs.
· Manage certificate of insurance (COI) requirements for vendors, contractors, and partners, ensuring timely collection and renewals.
· Liaise with external insurance brokers to maintain current and adequate insurance coverage (general liability, workers' comp, auto, etc.).
· Assist with insurance claims coordination and documentation as needed.
· Maintain a central repository of contracts and insurance documents in the company’s filing system.
· Monitor contract renewal dates and proactively notify stakeholders of upcoming expirations or renegotiation periods.
· Identify and escalate contract terms that pose risk or require legal review.
· Support internal audits and compliance reviews related to contracts and insurance.
· Contribute to process improvements that enhance contract management workflows and risk oversight.
Requirements
Qualifications:
· Associate’s or Bachelor’s degree in Business Administration, Legal Studies, or related field (or equivalent experience).
· 3+ years of experience in contract administration, risk management, or insurance coordination.
· Strong understanding of contractual language, risk terminology, and insurance documentation.
· Excellent organizational skills and attention to detail.
· Proficiency in Microsoft Office Suite and document management systems.
· Strong interpersonal and communication skills to interface with vendors, legal counsel, and internal teams.
Ability to handle sensitive and confidential information with discretion.
