GENERAL DESCRIPTION OF POSITION

Under the general supervision of the Dean of the School of Graduate Psychology, this position is responsible for all clinical training management practices for masters and doctoral programs for the School of Graduate Psychology, including data entry and management related to site placements and certifications for placement, clinical training registration, affiliation and training agreements, retrieval of clinical training data, and knowledge of Oregon laws related to clinical placements of students in community sites. The qualified applicant will have skills and feel comfortable learning and working with database management programs. Time management, task organization, and efficient communication skills are essential. This position description is not intended to be all-inclusive and will have additional responsibilities as required and assigned.

 

 

ESSENTIAL FUNCTIONS/MAJOR RESPONSIBILITIES

Clinical Records Management

  • Maintain and administer confidential student and site clinical training files
  • Coordinate and oversee requests regarding licensure applications, and forms specific to clinical placement
  • Track student compliance with state and site requirements (e.g., required screenings, trainings, and classes) and disseminate proof of compliance to sites.
  • Prepare and maintain predoctoral psychology internship applicant records from year to year.
  • Assist in development and maintenance of internal and external databases (e.g., Time2Track), practicum sites) for clinical training data.
  • Process and track submission of all clinical training student registration, student hours, student evaluations, and grade reports.

 

Clinical Placements

  • In coordination with program DCTs, maintain practicum databases and assist with the annual practicum placement process.
  • Develop and refine practicum and fieldwork contracts and affiliation agreements
  • Organize yearly clinical training fairs.
  • Attend monthly Clinical Coordinators meetings and as-needed meetings with SGP faculty
  • Manage student registration for clinical training courses to the Registrar’s Office.
  • Manage Clinical Training Resources Page for students
  • Manage clinical training listservs (e.g., distribution lists for clinical supervisors)
  • Solicit feedback from students about clinical training sites and supervision; analyze and disseminate feedback.
  • Advise students regarding the process of practicum and fieldwork selection and placement.
  • Liaison to outside agencies and schools regarding the placement process.

 

School Level Support

  • Together with other SGP staff, provide in-person office coverage to:
    • Serve as a backup and resource to student workers and graduate assistants who staffing the front desk and/or working on program/school projects.
    • Meet in person with students, staff, and faculty. 
  • Provide support and/or in-person attendance to program (e.g., admissions events), school (e.g., new student orientation), and college (e.g., resource fair) events.
  • During peak workflow times (e.g., accreditation reports/site visits, board reports/presentations) assist other programs or the school-at-large), assist with emergent tasks.

 

 

SECONDARY FUNCTIONS

Perform other related duties as assigned.

 

 

HYBRID WORK AGREEMENT

  • Work From Home Days: Staff members are permitted to work from home a designated number of days per week (determined by the SGP Dean).
  • Staff who have a work from home arrangement, must have a signed remote work policy on file and reviewed every three months.
  • In-Office Presence: To ensure effective team collaboration and support, a minimum of two staff members must be physically present in the department each workday (when slower office traffic allows, and with the approval of the SGP Dean, Fridays may be staffed by one staff member).
  • Schedule Coordination: Staff members will collaboratively create a weekly work schedule to ensure adequate in-office coverage. This schedule should include covering for each other’s planned absences.
    • If, at the last minute, a staff member who is scheduled to be in the office needs to WFM and cannot "trade" with another staff member, the staff member must "make up" the missed in-office-day on Friday (or if it is a Friday, within the next 5 business days)
    • When the in-office-day is not "made up" it should be charged to personal time off.
  • Communication Practices: Regular in-person team meetings and virtual communication tools will be utilized to maintain effective communication and collaboration. When working remotely, staff members are encouraged to be "on camera" in virtual meetings. Staff members should maintain a Pacific University online calendar to show availability and document work meetings/events. The university facing setting need only be "see only free/busy (hide details)."
  • Work From Home as Privilege: When working from home employees are expected to (a) contribute a full (e.g., 8-5 pm) day of work, (b) if not otherwise scheduled, be available to participate in last-minute
  • If an employee is ill, and this is the reason that they cannot be in the office on one or more of their scheduled workdays, they should claim sick leave and not engage in work for Pacific University.

 

 

JOB SCOPE

The Clinical Training Coordinator performs duties with minimal direction and supervision, operating from established directions and instructions.  Must be able to work collaboratively with other department staff and administrative personnel and will be held accountable for all assigned areas of responsibilities.  Decisions are made within general university policy constraints and often require independent decision making.  Mistakes/errors may result in work stoppage, loss of business, poor customer relations, all which have negative implications for the university.

 

 

SUPERVISOR RESPONSIBILITY

Serves as backup to support and supervise student workers.

Qualifications


EDUCATION AND/OR EXPERIENCE

  • Must possess strong management skills with experience in database and record-keeping work.
  • College degree preferred or equivalent combination of education and related experience required.
  • Proficiency in Microsoft Office required.
  • Experience in database and record management, including ability to organize data and disseminate reports, is strongly desired.
  • Familiarity with academic and/or clinical environments preferred.

  • College degree preferred; equivalent work experience acceptable
  • Has proficiency in Microsoft Office suite (e.g., Excel, Word), demonstrates willingness to learn new computer applications and systems, especially for recork-keeping and management
  • Experience with Time2Track, Moodle, Box, and IOTA 360 desired but not required
  • Demonstrates excellent record keeping skills
  • Is able to supervise, train and develop staff members and student workers
  • Is able to represent the department in a professional manner and collaborate with all University departments
  • Understands state laws and regulations related to student placement in clinical sites. 

 

 

PRIMARY REPORTING RELATIONSHIP

Reports to the Dean of the School of Graduate Psychology.

 

 

WORKING CONDITIONS

A busy professional office/academic environment. Occasional required work events outside of the normal working hours. The job is considered light work with some aspects of standing, walking, pushing, pulling, lifting, using hands, talking, and hearing.
