Job Summary

Under the general direction of the Director of New Business, this role is responsible for managing daily administrative operations to support the New Business team. Core responsibilities include answering calls, greeting guests, processing mail, ordering supplies, and performing additional duties as assigned. The ideal candidate will maintain a professional and positive demeanor, build strong relationships, and contribute to a collaborative team environment. This position requires sound judgment, attention to detail, and a committed quality and productivity while ensuring excellent service to the financial professionals, clients, and Southwest Annuity Marketing.

Job Description

Duties and Responsibilities

  • Serve as the first point of contact by answering incoming calls and routing them appropriately.
  • Greet and assist visitors in a professional and welcoming manner.
  • Manage office administrative tasks such as processing mail, creating labels, and ordering office supplies.
  • Monitor carrier websites for new applications and notify the New Business team accordingly
  • Enter new cases into the internal system with accuracy and attention to detail
  • Review and distribute emails from the shared New Business inbox to the appropriate team members
  • Assist the New Business team with follow-ups and routine administrative tasks
  • Assist with other duties and special projects as assigned.

Qualifications

  • Proficiency with Microsoft Office and familiarity with phone systems
  • Strong verbal and written communication skills
  • Excellent organizational and problem-solving abilities
  • Ability to work independently with minimal direction.

Position Details

  • Full-Time: Up to 40 hours per week
  • Schedule: Monday through Friday, 8:00 AM – 5:00 PM
