The Order Indexing Specialist is a key contributor to the weekly operations workflow. This individual will be part of a central order indexing and support team that is responsible for helping terminals prepare orders for billing and driver pay. They will also ensure orders accurately reflect each delivery and that all revenue has been identified for billing and driver pay.

Duties and Responsibilities:

  • Review and update orders against paperwork and driver notes.
  • Finalize and complete orders so they are ready for billing.
  • Update billing and driver pay settlement notes as needed.
  • Perform indexing of order paperwork and coordinate local scanning of paperwork if necessary.
  • Work closely with terminal personnel to obtain accurate information related to orders.
  • Develop and document deep understanding of individual terminal and customer requirements.
  • Proactively identify potential missed revenue and ensure multiple types of revenue are recorded appropriately. 
  • Identify and implement opportunities for continuous improvement including making it easier for operations to accurately identify revenue. 
  • Establish excellent working relationships with terminal personnel including coaching on best practices for recording orders.
  • Provide excellent customer service to internal and external customers.
  • Perform other duties as necessary.

Job Requirements

Education and Experience:

  • High school diploma, GED, or equivalent
  • At least one year of experience in transportation related roles including dispatching, billing, or similar operations.
  • Experience using TMW or similar Transportation Management System
  • Experience using software MS Word, Excel, and Outlook

Preferred Qualifications:

  • Associate or bachelor’s degree
  • Experience in transportation with bulk tank truck carriers

Language Skills:

  • Ability to read, write and speak English proficiently

Physical Demands:  

  • While performing the duties of this job, the employee is regularly required to talk or hear. 
  • May be required to stand, walk, sit for long periods of time (possibly up to 8 hours), use hands to feel; reach with hand and arms, and stoop, kneel or crouch as needed. 
  • Specific vision requirements include the ability to see at close range, distance vision, color vision, peripheral vision, depth perception, and the ability to adjust focus.

Work Environment: 

  • This team may be expected to require a flexible work week including work on Saturday and/or Sunday in exchange for other days off.
  • The position typically operates in a standard office environment.

Salary Range:

Disclaimer: The salary for this position is $19.00 hourly. This range is based on market data and internal equity. The final offer will be determined by various factors, including the candidate’s experience, education, skills, qualifications, and geographic location.
