We are looking for a multifaceted team member to join Emburse as a Facilities/Procurement Analyst (Office Manager), a role designed to coordinate essential facilities operations alongside critical procurement duties. In this position, you will serve as a key administrative anchor for our employees and visitors while providing high-level support to the procurement department through budget reconciliation, KPI reporting, and strategic projects. Reporting directly to the Vice President of Procurement and Facilities, you will play a vital role in maintaining our office environment and ensuring company-wide compliance for our vendors.
**This is a hybrid role consisting of 4 days a week in the Addison, Texas office. Eligible candidates must NOT require sponsorship now or in the future**
What You'll Do
Organize the office layout and oversee the procurement of all necessary stationery and equipment
Maintain the office condition by coordinating necessary repairs and liaising with vendors for cleaning, catering, and security services
Manage contract and pricing negotiations with office vendors, service providers, and office lease holders
Organize office procedures, update policies, and ensure all facility-related items are invoiced and paid on time
Provide general support to visitors, assist with the onboarding process for new hires, and address internal queries regarding office management
Assist in the planning and execution of in-house or off-site activities, including parties, celebrations, and professional conferences
Work closely with the Facilities team to adhere to and implement facilities-related cost-savings initiatives
Review and process Purchase Orders on a daily basis to ensure strict compliance with established Procurement policies
Play a central role in month-end processes by analyzing and tracking facility and IT spend across all locations against the yearly budget
Compile and track key performance indicators for facilities, procurement, and IT, providing monthly reports directly to the VP of Procurement and Facilities
Review company travel reservations and contingent worker contracts monthly to ensure adherence to travel and procurement policies
Collaborate with the procurement team on ad hoc projects and general initiatives to ensure company-wide policy compliance
What You'll Bring
3+ years of Office Management or Facilities Management experience
B.S. degree preferred or equivalent work experience
Advanced Microsoft, Google, and ERP System experience
Excellent written and verbal communication skills
Ability to work independently and as part of a team
Strong customer service skills
