About the Department

We’re seeking an organized, motivated Project Coordinator to join our Engineering team. This role calls for strong communication, project management, and problem-solving abilities. As a Project Coordinator, you’ll support the Engineering management team by helping drive project delivery and providing hands-on project management support for capital projects.
The Project Coordinator assists the Assistant Director and Project Manager(s) with tasks related to project delivery and providing project management support for capital projects. Assists Project Managers by coordinating and assembling construction contracts, specifications and drawings. Creates and maintains project schedules and updates, CIP dashboards. Creates and utilizes project management tools to monitor projects, track work progress, submittal reviews, requests purchase orders. Performs audits on construction pay estimates and assists with preparation of items requiring Council action. Assists with public engagement meetings and materials. Administrator for CIP construction management software, including creating the project, uploading files, training users, document retention and software maintenance. Assists the Project Managers by performing utility coordination tasks for CIP projects, including design and conflicts review, liaison with consultants, utility relocation payments, field coordination and construction coordination. Assistance for project issues (design or in field) such as coordination with external agencies such as the power and gas, postal service, solid waste services, real estate representatives, and other agencies for permits requested. Assists in easement acquisitions for CIP projects.
Position Duties
- Assists Project Managers by coordinating and assembling construction contracts, specifications and drawings. Creates and maintains project updates, CIP dashboards and CIP schedules, creates and utilizes project management tools to monitor projects, track work progress, submittal reviews, and requests purchase orders, performs audits on construction pay estimates, materials for public engagement, prepares materials for Council action.
- Administrator for Capital Improvement project construction management software, including creating projects, uploading files, training for users, and transfer of files for document retention and software maintenance. Develops internal processes and standard operating procedures, and ensures consistency with software functionality.
- Assists the Project Managers by performing utility coordination tasks for CIP projects, including design/conflicts review, liaison with internal and external entities, utility relocation payments, field coordination and construction coordination.
- Assists with project issues (design or in field) such as coordination with postal service, solid waste service, real estate representatives, and other agencies for permits requested. Assists in easement acquisitions for CIP projects.
- Provides assistance to the Assistant Director and Project Manager(s) on special projects, involving research, compiling information or data of a specialized nature, analysis, planning, and technical support. Performs all other duties as assigned.
Minimum Qualifications
Required:
- Associate’s Degree from an accredited college or institution in Construction, Engineering, or related field.
- One year experience in a paraprofessional project management role.
- An equivalent combination of education, experience, certification and/or licenses sufficient to successfully perform the essential functions of the job.
- Two years experience in general engineering project administration.
- Municipal project management experience.
- Construction management experience.
- Experience with project management software.
- Basic ability to read and comprehend plans, details and specifications.
Other Qualifications
Knowledge of project and construction management. Basic ability to read and comprehend construction plans, details and specifications. Ability to read and write legibly. Proficient in the use Microsoft Professional Series Software package. Proficient in oral and written communication. Ability to multitask, establish priorities, work independently, and maintain organization. Work requires attention to detail. Must have a high level of interpersonal skills to handle sensitive and confidential situations with both internal and external customers. Position continually requires demonstrated poise, tact, and diplomacy. Ability to get along appropriately with co-workers and the public.
