Position summary:
The Receptionist position is responsible for performing clerical tasks to support daily operations. Duties include answering and transferring phone calls, sorting and delivering mail, greeting visitors, and providing administrative support to the practice. The Receptionist reports to and is employed by Clearwater Financial Group. This position is an in-office role working Monday – Friday 9 a.m. to 5 p.m. in the Billings office. Compensation is $40,000-50,000 annually dependent upon experience. No medical or dental benefits provided.

Job Description

Position Roles/Responsibilities/Accountabilities

  • Support the lead advisors with variety of functions and tasks
  • Interface with clients to coordinate meetings, mailings, and other communications
  • Greet clients and visitors when they arrive
  • Answer all incoming calls and disperse them and any messages appropriately
  • Maintain client correspondence including compliance and marketing mailings
  • Schedule all meetings and provide driving directions
  • Maintain the Lead Advisor’s calendar
  • Update CRM systems as needed
  • Maintain internal mailing lists, birthday card lists, and monthly calling lists
  • Maintain physical or electronic files
  • Send and prepare Docusign documents as requested by advisors

Position Qualifications

  • Previous experience working as a receptionist in a professional service firm desired
  • Strong technical computer aptitude and knowledge of business tools (e.g., Microsoft Word, Excel, PowerPoint) or ability to learn
  • Ability to handle multiple tasks and maintain a high quality of work while experiencing frequent interruptions

 Compliance and Regulatory
As part of  Clearwater Financial Group’s recruiting/hiring/contracting process, a verification of a candidate's background will be made to complete the hiring/contracting process. In addition, fingerprints will be taken for submission to the Federal Bureau of Investigation for review against nationwide fingerprint records.
