Summary:
The Flight Services Coordinator is responsible for coordinating day-to-day delivery of SailGP’s global flight operations in partnership with the appointed flight supplier in partnership with the appointed flight supplier.  


This role oversees the day-to-day flight booking process, reviews proposed itineraries, ensures alignment with policy and event timelines, and supports forward planning by providing insights and recommendations for routing, group travel, and supplier performance.


The role is part-time 4 days/week reporting to the Global Travel Lead, and works closely with the internal travel team, suppliers, and event departments.


Please note this is a six-month contracted role.


Key Responsibilities:


Flight Booking & Ticket Management

  • Coordinate end-to-end flight requests with the flight supplier, ensuring policy compliance and event alignment.
  • Review and validate itineraries before ticket issuance, raising queries or discrepancies.
  • Maintain the flight services inbox and issue confirmed tickets to travellers.
  • Keep internal flight records up to date, accurate, and audit-ready.


Forward Planning & Routing Strategy

  • Research and compare routing and carrier options for all upcoming events, considering cost, airport location, and operational timing.
  • Recommend optimal flight paths or booking strategies (e.g. group blocks, route selection).
  • Advise the Global Travel Lead on the most efficient and cost-effective approach to each event’s air travel.


Supplier Oversight & Performance Monitoring

  • Liaise with the flight supplier on a day-to-day basis, maintaining professional communication and escalating recurring issues.
  • Monitor delivery against agreed service levels (timeliness, pricing, accuracy).
  • Contribute data and commentary to supplier performance reviews.


Reporting & Travel Data Insights

  • Produce regular updates and reporting on flight volumes, booking timelines, average costs, emissions data, and route trends.
  •  Identify missed savings or inefficiencies and support corrective action.
  •  Assist with reconciliation checks in collaboration with Finance.


Airport Transfer Coordination

  • Coordinate with Travel Coordinators to confirm ground transfer needs based on flight schedules.
  • Group arrivals/departures logically to support efficient transfer planning.
  • Maintain alignment between air and ground logistics.


System & Process Integrity

  • Maintain data accuracy across SailGP’s internal travel systems.
  • Support the development and evolution of workflows and tools.
  • Uphold high standards of accuracy, clarity, and confidentiality in all flight data handling.

  • Demonstrates discretion, reliability, and integrity in handling sensitive travel data and decision-making.


About You:

  • Proven experience working in a coordination, logistics or flight booking role
  • Fares and Ticketing Knowledge
  • Strong organisational skills and attention to detail
  • Proactive communicator with the ability to manage multiple priorities calmly and professionally
  • Analytical mindset with interest in travel trends and cost analysis
  • Experience working with third-party suppliers and coordinating shared inboxes
  • Comfortable working with Excel or other tracking/reporting tools
  • Comfortable working in a high-volume, evolving business that is transitioning from start-up mode to more formalised processes and structures.
  • Experience or knowledge of Global Distribution Systems (GDS) such as Amadeus, Sabre or Galileo is desirable
